Introduction: This section is intended to give all staff guidance into how procedures and systems shall operate on a normal day-to-day basis within the Gym. Located on the second floor, the open plan layout of the Gym incorporates an amazing range of training equipment, which can cater for all styles of training including cardiovascular, free weights, strength training, functional training and conditioning. Access to the Gym area is controlled by swipe card and under 12’s are not permitted to access the area at anytime. The specialist exercise programme is situated within the Gym, with a dedicated GP Referral studio for clients.

DEALING WITH THE PUBLIC

Admission: In order to maintain a safe level of operation at South Lake Leisure

Admission: In order to maintain a safe level of operation at South Lake Leisure Centre, the maximum capacity for the Gym is estimated at 140 users. If user loads reach 75% of the maximum capacity the Duty Manager should be contacted, who in turn will notify reception to limit or suspend the purchase of daily tickets for a period until the user loads subside. However if the user loads continue to increase to near maximum capacity, the Member access may also need to be limited or suspended for a short period.

Time Restrictions: In addition to access restrictions the Fitness Advisor may need to implement

They should be labelled with workout time restrictions of up to 30 minutes to ensure they are not monopolised for long periods, thus allowing for continuous flow.

Young Users: Opportunities for Young Users [12 to 15 -year olds] to use the facilities are available throughout the week at selected times, § Monday to Friday from 7: 00 am-9: 00 am & 1: 00 pm-5: 30 pm § Saturday from 1: 00 pm – 7: 00 pm § Sunday from 1: 00 pm – 7: 00 pm Outside of these designated times 12 to 15 -year old Members may use the facility when accompanied and “Signed in” by an Adult Member. The use of resistance equipment by 12 to 15 -year olds is limited to low/medium resistance equipment, with a programme controlled by a qualified instructor.

If you are taking any medication or have any medical conditions that might affect your ability to exercise safely, please advise staff accordingly

If users do make staff aware, then the user needs to complete a Physical Activity Readiness Questionnaire (PAR Q) and management should consider and implement any measures, where practical and reasonable, to ensure a safe environment for the customer. Staff must be sensitive to the needs of the individual and always display a courteous and understanding approach.

Indecency Incidents Should a member of staff be witness to, or an allegation of indecent behaviour raised, the matter must be treated seriously and dealt with as follows: § Ask the complainant to accompany you to the office and contact Duty Manager. § Attempt to obtain a description of what has happened and details of the person/s responsible. § Check for possible witnesses and obtain witness statements. § The Duty Manager should report the matter through Leisurewatch and advise PSNI of incident. § If the alleged perpetrator is still on premises, observe until the police arrive. If specific clothing has been issued, then the Instructor must wear this, however if no specific clothing has been issued the Instructor must not wear any clothing which may cause offence to the participants or spectators. Membership Sales: Joining a gym for the first time can be daunting for some people. It is important that staff conduct themselves in a professional manner. To begin with, staff should identify the needs of the potential member before selling them an unsuitable membership that they will cancel in a few months. If the enquiry is by telephone, email or through social media, arrange an appointment for the potential member to have a tour of the facility. Membership packages offers great value and with no contract, it allows the membership to be frozen or cancelled at any time. Membership can be paid monthly by DD or annually with varying benefits associated depending on the package, and these should be explained prior to purchase.

The simplest way to ensure that members do not cancel is to ensure that they are using the facilities regularly and have an enjoyable experience. This is achieved through keeping in regular contact with your members and keeping them focused on their training goals. The retention procedure is designed to assist in the process.

This will involve assessing the member’s level of fitness, setting goals, giving general healthy eating advice and monitoring the member’s attendance/ targets. To successfully carry this out, the Fitness Advisor will be required to maintain regular contact with their member to help motivate them, contact them if they are not attending on a regular basis and encourage them to re-join if they cancel.

Cleaning: The facility is subject to a rigorous daily cleaning programme that includes methodical

Cleaning: The facility is subject to a rigorous daily cleaning programme that includes methodical cleaning of equipment, mirrors and floor area within the Gym. Fitness Advisors should follow the cleaning protocol sheet on how each item of equipment should be cleaned and on completion of each task, the sign the cleaning sheet. When carrying out the cleaning of equipment check, each apparatus should be checked for faults and, if identified, the Fitness Advisor should label the item with an ‘Out of Order’ notice and report it so that an Engineer can be requested.

Equipment Set Up/Take Down: A wide range of equipment is used for various classes

Equipment Set Up/Take Down: A wide range of equipment is used for various classes taking place. It is important that staff obtain the knowledge, understanding and practical skills required to be able to set up, take down and store equipment correctly. Prior to the commencement of a class the Instructor should check the equipment for signs of wear & tear or defects. Faulty equipment should not be used. It must be labelled with an ‘Out Of Order’ sign and recorded in the defects book. It is essential that staff follow the ‘Equipment Fact Sheets’ to ensure that, not only is the equipment set-up, taken down or stored correctly but that staff have done it safely, thus minimising the risk of injury to themselves or others.

Exercise Classes: The instructor should arrive 15 minutes prior to the class start time

Exercise Classes: The instructor should arrive 15 minutes prior to the class start time to ensure the equipment required for the class is in position/available and fit for use. In addition they should use this time to interact with new participants and set up/adjust any equipment that they will be using (e. g. Indoor Cycle) At the start of each class the Exercise Instructor must read out the following health declaration “Users of the facility should advise staff if they are taking any medication or have any medical conditions that might affect your ability to exercise safely. ”

Exercise Prescriptions: It can be a challenge for new members knowing where to start,

Exercise Prescriptions: It can be a challenge for new members knowing where to start, and how to get the best workout to suit their needs. To help motivate new members to achieve their goal, an exercise programme should be offered on completion of their induction. By using the acronym F. I. T. T. programmes can be designed to suit the majority of people. On display within the Gym will be pre-designed workout cards that users can lift and try out. These will cover three areas with three levels in each area.

Health / Fitness Assessments: In order to help members maximize the benefits of their

Health / Fitness Assessments: In order to help members maximize the benefits of their training, the Centre offers users the opportunity to undertake basic assessments to determine their health and physical fitness levels. The test will assess the users BMI, strength, endurance & flexibility and will allow the Fitness Advisor to… § Evaluate their current strengths and weakness § Aid the development of a tailored exercise programme § Monitoring the effectiveness of their training regime

First Aid Rooms & Reporting: A first aid kit is located within the Gym

First Aid Rooms & Reporting: A first aid kit is located within the Gym for staff that have received the appropriate training to use. Any items used during treatment should be replenished immediately. A dedicated first aid room located beside the Activity Rooms All accidents or near misses must be recorded, and in the case of more severe accidents, an accident investigation form completed. This must be passed immediately to the Duty Manager who will forward documents to Council Health & Safety Officer.

DNACPR Guidance: In a major incident requiring CPR, it is possible you will encounter

DNACPR Guidance: In a major incident requiring CPR, it is possible you will encounter a casualty with “DNACPR” [Do Not Attempt CPR] on a necklace, bracelet, or possibly even tattooed on their person. As staff are not a health care professional, they cannot make a decision not to start CPR. However, as soon as the ambulance crew arrive, staff should report any DNACPR necklaces, bracelets, or tattoos and the crew would make the call. Any member of the public who seeks to leave a DNACPR form should be advised that the facility do not accept these types of forms and emphasis the fact that in all circumstance where someone collapses, the priority will be to focus on trying to treat them.

School Use: A school session shall last for 45 minutes, during which time the

The designated school-teacher shall assume responsibility of the children from their entry to the Gym until their departure. The intended class numbers shall be agreed with the Gym in advance. The ratio of children to each Fitness Advisor shall be a maximum of 20: 1 for group exercise. Only students that have completed an induction may use the facility and no spectators other than the school-teacher is permitted in the Gym.

Club/Group Use: Training sessions by Clubs/Groups must be under the supervision of a suitably

The Instructor is responsible for ensuring that their members abide by the rules of the facility. No additional items of equipment is permitted to be brought into the Gym without prior approval from Centre Management.

Exercise Referral: The Exercise Referral scheme is a great way for people with long-term health conditions to increase physical activity levels and improve health. The scheme covers a wide range of health conditions including high blood pressure, diabetes, asthma, arthritis, overweight or obesity, depression or anxiety, osteoporosis and other conditions. Under the guidance of a qualified instructor, participants will be encouraged to start a suitable exercise programme, promote healthy lifestyle changes, advise on how to exercise safely and give support through the programme.
