ART OF FACILITATION An Open Environment Groups work best when individuals are made to feel comfortable expressing their ideas and opinions. Encourage all participants to listen to what others are saying. Involve all Participants In any group, some individuals will be less inclined to speak up. Watch out for signs that people are not involved. Engage people by asking them questions. Pay Attention Be attentive to what is happening at all times. Do not get side-tracked into long discussions with individuals. Lead by Example Encourage cooperative behaviour by behaving in a way that is at all times honest, open, respectful and non-judgmental.

ART OF INTERRUPTING You may feel it is disrespectful to interrupt someone when they are talking. However when the overall purpose of a meeting is to stay on time and on topic interrupting a woman while they are talking is respecting the greater purpose of a Venus meeting. As the facilitator it is your responsibility to honour the greater purpose of a meeting and you will need to learn the art of interrupting to be successful in your role. • Set a clear expectation at the start of the meeting • Explain your job is to stay on time • Use a members name to move them on • Don’t wait for them to have a natural pause – they may never

WHEN MEMBERS ARRIVE LATE The most effective practise is to ignore a late comer

WHEN MEMBERS ARRIVE LATE The most effective practise is to ignore a late comer and focus on the member talking. If the late comer interrupts the meeting to offer an excuse or explanation, end the conversation and say you’ll talk about it after the meeting. Make sure to check in with the late arrival after the meeting and ask them to recommit to being on time. If you have a member who is often late please let your Regional Manager know and she will address it further with the member. Please do not tell members or guests off.
