Executive Director Update 2020 has been an extremely difficult year for obvious reasons; and

Executive Director Update 2020 has been an extremely difficult year for obvious reasons; and I want to start off by thanking everyone, from our members to our coaches to our Board, for supporting us and allowing us to provide for you. Even with the challenges we faced, we were able to overcome losing our spring season and successfully navigate a fall season. Overall, we are in a much better place than many of our peers and we owe that to everyone I mentioned. While the spring season was lost due to COVID-19, fall was saved by our efforts to create fields for all of the MAYSA region to use in Fall River and secure use of a field in Columbus. These fields were used by eleven different clubs at both the MAYSA and State League level and we safely managed over 100 games for our players alone. Meanwhile, we also safely managed hundreds of practices in Sun Prairie. This effort required countless hours from our staff, many adjustments for our coaches and players, and your faith in us that we could provide a safe and rewarding experience for your players. My only regret is that we were not able to provide the same level of normalcy for our In-House players, but I hope to make it up to them very soon! The fall season aside, this year we also increased our engagement in the community and our fundraising efforts. Some of my personal goals are to have a stronger presence in our community and do whatever we can to support our citizens on and off the field and find ways to raise money or cut costs to support our club’s financial needs without having to rely on raising registration fees.

Administrative Achievements Led the effort to create fields in Fall River and provide a fall season for our members. These were used by 11 different clubs, playing over 400 games. Created and implemented safety procedures for players in response to COVID-19. More than 100 games played and hundreds of training sessions with no reported infections. Successfully rolled out our new logo and uniforms. Moved billing internally, resulting in substantial financial savings to the club.

Membership Survey Results After seeing our survey results, I am very pleased with how

Membership Survey Results After seeing our survey results, I am very pleased with how much everyone enjoyed playing in the fall season and how they feel about our club. 90% or more of our respondents were happy with their experience, their coach, and their players’ development; and 97% are proud to be members of our club and would recommend us to others. That is a solid achievement even in a normal year. That being said, there are still opportunities for growth and we will strive to overcome those as well. Some common themes were the need to provide more resources for player development, a need to have a greater focus on the girls side, difficulties with mixed messages about the fall season, concerns about COVID, and the change to the billing process. Player Development and Opportunities This issue has been at the forefront for our club for many years and is one of our greatest challenges. We strive to be a club that serves everyone’s needs, but that is very difficult to do when we have players within our various subsets that both want a more competitive experience and also a more recreational experience. Even within a single team some players may want more opportunities for training while others want less pressure to participate in training. Our mission to solve this issue is ongoing and we hope to have some new options for everyone in the near future.

Membership Survey Results (continued) Girls Teams We recently formed a group of current and former parents of our female players to discuss the issues we have on the girls side. The purpose of this effort is to help educate club leadership on their concerns and how we can best resolve the issues. The first meeting was very beneficial and we look forward to further discussions to help us make changes to support these players. Communications about the fall season Throughout the year we sent out a lot of communications about ongoing situations that were constantly in flux due to COVID. While these were meant to keep everyone up to date, we also understand that they may have caused some confusion. For example, when Public Health Madison & Dane County (PHMDC) put a stop to all competitions in Dane County, we had to adjust. Clubs throughout the MAYSA region decided to train only, but us creating fields in Fall River and negotiating with Columbus provided a new opportunity for clubs to play, so a season that was effectively cancelled was suddenly back on. Not knowing what clubs would still be interested in playing, we did not want to over-promise on how many games we could provide. All the while, PHMDC was issuing new health orders and we had to continue to adjust our protocols and what we could keep offering.

Membership Survey Results (continued) COVID Undoubtedly, this was the biggest challenge that we faced this year. Many conversations were held with MAYSA/WYSA, various county health department, members, etc. and we had to decide to either shut down for the season or try and provide what we could for our members. After surveying the membership, we found that there was an overwhelming desire to play in any way possible. With State League games continuing, we wanted to provide games for MAYSA teams too to ensure a fair experience. Unfortunately, there were no option for In. House players. Deciding to play was not an easy decision, but we decided to support the majority and provide the option to sit out of the fall season with no penalties or judgements. Regarding the discount we provided, this was the maximum we could afford without putting the club at further risk. Additional details are provided in the financial section of this presentation. In the end, we were able to provide an almost close to normal season for most teams and ended up turning away games at the end of fall because games were starting to get cancelled due to COVID and clubs stopped playing. Also, we were able to provide so many games that our games costs became too high to balance out the 25% reduction in revenue.

Membership Survey Results (continued) Changes to the Billing Process The change to the billing process, bringing payments in-house instead of through Demosphere, was a necessary action to afford the discount we provided for fall. In addition, this will save the club up to $20, 000 annually, using 2019 figures. The club paid approximately 4% in fees for every payment pulled from Demosphere, resulting in a substantial reduction to net revenue each year. Instead, we brought billing in-house using our existing accounting software and provided our members with a more generous timeframe for making their payments. Instead of being obligated to make your payments monthly, members have the option to pay as they wish, but must make sure fall is paid for before spring begins, and spring is paid for before the following season. In addition, we opened up the option to pay by check, so no one pays any fees. These changes add risk to the club from non-payment/returned checks, and require significantly more time worked by staff to process payments, but overall provide a significant benefit to both our members and the club. The downside is that members have to remember to make their payments, which again can be done whenever they want within the policy. This model is also used by some of the larger clubs in our area that were not willing to accept the fees that Demosphere charged when we were all forced to adopt them as a processor, except they don’t accept checks and force members to cover the processing fees.

Membership Survey Results (continued) In-House Running an In-House program this fall was a very difficult challenge. While we were able to do training, we can’t play games if we don't have any opponents; and we knew that our members would not be interested in travelling out of town to play full-contact games against ourselves. With the constant flow of players being added, switching teams, and withdrawing due to COVID concerns, we did not know how many players would remain on each team. Thus, we also didn't know how many shirts we needed for each team. The shirts, which are paid for by sponsors this year and are not included in the cost for registration, have since been created and will be distributed shortly. Even if we can’t play games, we think it is important to highlight our partnerships with our sponsors and give them the best possible value for their investment. Having enough coaches is also an issue that we face every year. In-House is a mostly volunteer program and thus requires volunteers to function. This fall was especially difficult with SPSC staff having to fill in for one of the spots, but having to withdraw so they could have more time to focus on COVID-related issues.

More than just a fun sport, my child needs these practices for his success and ability to focus on school. ” “Not sure our family will see this during our time in the club, but I think a stretch goal should be a dedicated facility, with fields for all ages, as in Waunakee or Verona. ” “While I am aware that COVID caused many issues across all levels of the club and MAYSA, the club waited until too late to make decisions on (among other things) practice schedules, or at least in communicating those schedules to the teams. More than usual was left up to individual coaches, so some teams started practicing 3 weeks before others and kept practicing for weeks longer. In short, he's playing with players who can barely kick a ball let alone play a coherent soccer game. That's just where those players are, but this has severely limited his development. ” “Coach Dana is an outstanding coach who knows a lot about soccer and pushes the girls to perform at their best. ” “I really would have liked my child to receive her U 8 shirt/jersey. Survey Comments (continued) Programs “I wish more focus was spent on building the girls teams. The emphasis of the club seems to be on the boys teams, and the girls teams seem like an afterthought. We have had many girls leave our club over the years in favor for more competitive and girl focused clubs. ” “At the risk of stating the obvious, I would like to see the club continue to pursue competitiveness at the highest levels without sacrificing opportunities for kids that want to play more recreationally. ” “It is nice that the kids have access to a trainer once a week for practice. In the past when it was just parent volunteers, depending on the knowledge and ability of that parent stipulated how much the kids learned about soccer. It is great the kids all have access to learning about the game now. ” “The club doesn't pay much attention to the teams below Union/Red, especially U 9 and U 10. Specifically, combining U 9 and U 10 players on white teams by pulling the bottom from both age groups is highly problematic. The low-end U 9 players are not at all near the same development point as the low-end U 10 players, and when playing other teams they tend to get pummeled, which doesn't help their development. If combining age groups is necessary, at least match the skill levels for both age groups. I recognize that most coaches only want to coach the elite teams, but as a parent of a player who is not elite, but who really wants to develop, the opportunities are not there during the regular season. It is helpful that winter and summer trainings are not differentiated by team, and normally the club does offer a good number of options with effective resources. ” “I wish there were opportunities to focus on fun and local recreational play. Don’t underestimate the benefits of giving kids the opportunity to play and practice during this crazy year!” “I think it was irresponsible to have games in the fall season. Circumventing the rules of Dane County just to have games is a not the message I think is appropriate for the children. It was an unnecessary risk exposing our players to players in other counties that have not been taking this pandemic and the precautions related to it seriously. It should've been practices only with no option for games. ” “Great job doing MAYSA friendlies - heard other clubs just didn’t play at all - sad. . . ” “I was surprised to see the inconsistent approach to wearing masks, especially during game play when children were regularly within close distance of each other. While I personally think that the science indicates that contact is OK outdoors and that the club's policies were overly restrictive, the fact that so many coaches deliberately disregarded procedures, with no consequences, was extremely disappointing. ” I wish there were more opportunities to play despite covid. Continue to offer opportunities to play, but continue to allow parents to choose whether they participate or not - even within day to day practices or offering practices of choice. My children all want to play (4 in SPSC). I take all necessary precautions but have no fear of the virus. I completely respect others that do or have high risk family members or situations, but I do not worry about my children getting sick. Losing everything they have this past year has been hardest on them. They have coped best when they had the consistency of soccer practice. That gave them structure, routine, child interactions, and purpose. They all struggled again when the fall season ended. "The head coach was very creative with drills to maintain social distancing but yet kept them engaged and having fun. All while building skills. Very very pleased. "

Financial Report Notes on Finances - This year’s budget is a best estimate given that playability, player participation, and costs are changing regularly in accordance with local restrictions due to COVID-19. The projected loss for the year is a likely possibility, but not a definite outcome. - Revenue has been severely impacted by refunds given for spring 2020 and a 25% discount for fall 2020 (for most members). - We accepted a Payment Protection Program (PPP) loan and Economic Injury Disaster Loan (EIDL) grant from the SBA in spring 2020, which was used to pay employees (both staff and coaches). Both are both under final review forgiveness. - We have taken steps to mitigate the financial impact of COVID-19, which include significantly reducing costs by moving from Demosphere to Quickbooks for billing, increasing fundraising and sponsorship efforts, and using on-account credits/rebates from equipment sales to purchase new equipment.

Director of Coaching Update This was an exciting year for our teams. Our U

Director of Coaching Update This was an exciting year for our teams. Our U 14 Boys Union team became our first team to ever play in the Midwest Conference of US Soccer’s National League and our U 12 Girls Union team became our first girls team to play in State League. The boys had a solid first experience and the girls swept their division. In addition, our U 12 Boys Union team competed in qualifiers for the Midwest Conference and hopes to join that league next year. We also continue to have a presence in State League at U 13, U 15, and U 16/17. We look forward to bringing more teams into these higher levels of competition next year and beyond. While the MAYSA level teams were unable to play a league season, we were able to provide at least five games for every team while still being able to train. Unfortunately, our In-House teams were not able to play any games this fall but we look forward to providing more opportunities for them to play in spring. On an individual basis, we are proud that 13 of our players have been selected for the Olympic Development Program (ODP) for 2020!

Camps The limitations on playability due to COVID-19 had a significant impact on our

Camps The limitations on playability due to COVID-19 had a significant impact on our ability to host camps this year. Unfortunately, we were unable to run a Next Level Summer Camp and were unable to host the Madison Forward’s camp. We may be able to host a Winter Training program in January/February if local health restrictions allow it, which they currently do not. This would likely be sessions held in Fall River, possibly in Sun Prairie. The details are yet to be determined and are dependent on what is permitted by local restrictions.

These are some details we have so far: - All leagues are planning for a regular spring season, but we need to be prepared in case we have to repeat the experience we had in fall. There were a lot of things learned from fall that would allow us to manage a spring season more efficiently across MAYSA. - MAYSA is considering moving their spring season to a May start date and both WYSA/MAYSA intend on changing the schedule for high school aged players to give them a spring season around their high school season. - We are looking into options on how to provide a more interesting and challenging experience for In-House players in case they still cannot play games in spring. - Each player will receive an evaluation from their coach at the end of spring to communicate how the player is developing. - We are looking to build on our recent success and provide more opportunities for player growth throughout our club.
