Return to the Parish Plan
Overview • The Parish is planning for the reopening of our offices - Return to the Parish Plan (RTP) • Under Ontario law, we have a duty to keep staff and work sites safe and free of hazards • As a first step, we have developed principles and a framework to guide our approach on a safe return to the Parish • Includes x location <include locations that are in scope if more than one>
Principles • The health and safety of our staff will be our number one priority • It will be a phased in approach • Will follow Government directives each step of the way • In compliance with public health and safety requirements • In compliance with Occupational Health & Safety Act
Principles • Sensitive to the needs of our staff • RTP Plan will be changed as necessary • Input from Health & Safety Representative or Joint Health and Safety Committee
Health and Safety - Transmission Points • Door knobs, hand rails • Elevator • Appliances, water cooler, coffee machine, etc. • Lunchroom • Washrooms • Photocopiers, shared office equipment • Workstations that are too close • Conference/meeting rooms • Transiting to work
Safety Precautions In Place Before Return • Staff that have underlying medical conditions will not return until the last phase of the RTP Plan • Staff must be symptom free before RTP • If any returning staff experience symptoms of covid, cold or flu, they should be sent home or work from home if possible • Use flex time to allow for a staggered start and reduce exposure on transit by travelling outside of rush hour • Must observe social distancing, two (2) metres apart
Safety Precautions In Place Before Return • Provide cleaning supplies to staff for their work surfaces, devices, screens and equipment ; wipes, etc. • Extra cleaning of the offices will be implemented • Offices to be cleaned twice per day, at mid day and in the evening; special focus on high touch areas
Safety Precautions In Place Before Return • Clear divider installed at x location <reception or where necessary> • Staff use hand sanitizer or wash hands upon entering the building • Only one (1) person on the elevator at any one time <only if applicable>
Safety Precautions In Place Before Return • Lunchroom and coffee stations will be closed • Reminders to staff to take regular breaks during the day for stretching • Meeting rooms capacity will be limited to x% of its normal capacity • Workstations in x location will need to be relocated due to the proximity to each other, this will be temporary • Offices will remain closed to the public
Safety Precautions In Place Before Return • Internal meetings will continue where social distancing can be maintained otherwise video/teleconferencing will be the preferred method • External meetings will continue via video/teleconferencing; visitors by appointment only • Staff must wear a mask outside of work area; provide PPE, masks, gloves • Reschedule unnecessary visits by supply chain partners, vendors or others that don’t need to be on site right now
Safety Precautions In Place Before Return • Introduce more fresh air by increasing the ventilation system’s air intake or opening windows. Avoid central recirculation where possible • Remove reading material from lunchroom and waiting areas, temporarily <only if applicable> • Only x people in the washroom at any one time <only if applicable> • For personal travel, we are discouraging all personal travel outside of Canada. If you or a household member chooses to travel, you must contact Incumbent before returning to the office and you could be asked to self-isolate for 14 days starting from the date of your return.
Safety Precautions In Place Before Return • Have a listing of staff working each day; for contact tracing if needed • Have all visitors sign in with full contact information; for contact tracing if needed • Review and modify if needed the emergency safety protocols (fire evacuation, medical emergency, etc. )
Communications Before & After Return • Communicate the return plan to staff • Communicate with staff on possible transmission points and precautions to address; hand washing, etc. • Communicate to staff on how to keep their work surfaces, devices, screens and equipment clean • Daily check ins with staff on any symptoms after return
Communications Before & After Return • Weekly check ins with staff on updates, any concerns/questions ( ensure the check ins are a virtual meeting or with physical distancing) • Communicate to staff any temporary changes to the emergency safety protocols (fire evacuation, medical emergency, etc. )
Returning in Stages • RTP will be gradual and will occur in stages • Each stage will be anywhere from two to four weeks apart to allow us to assess current situation before moving to the next phase • Phases will be subject to change and we will advise as we go along • Social distancing, frequent hand washing, cough hygiene, stay home/work from home if experiencing symptoms, staying home when sick, will continue through each stage
Phase I • <Identify which roles, example: Essential roles/roles more effectively done on site>; no more than x% of staff • x people maximum Phase II … <If necessary and additional phases if needed> • To begin approximately x to x weeks after Phase I • <identify next grouping of roles>; no more than an additional x% of staff • Another x people maximum <Identify your phases, this may be only 1 phase as your parish is small or few phases for larger parishes with more employees>
Action Items Before Phase I • Confirm with Incumbent/Churchwardens/Directors which roles are to return and in what phase • Order supplies; masks, wipes, hand sanitizer, gloves • Close lunchroom, coffee station • Reduce meeting room capacity • Communicate plan with staff
Action Items Before Phase I • Poster blitz on hand washing, cough hygiene and staying home when sick or experiencing symptoms • Signs on entrances to use hand sanitizer and/or wash hands when entering the offices • Signs on photocopier, water cooler, appliances “Please wash your hands after use”
