Changing Margins in Normal View l Default Margins: – Top margin - 1 inch – Bottom Margin - 1 inch – Left Margin - 1. 25 inches – Right Margin - 1. 25 inches standard paper (8 x 11 inches) with default settings, you have 6 x 9 inches on the page for text. l Using Word, Chapter 6, Margins 2

Using the Page Setup Dialog Box for Changing Margins l Choose Page Setup from the File Menu. – Make sure that no text is selected. l Click the Margins Tab. l Edit or set the margins, as you desire. l You can press Tab to get from one margin text to the next. l Click the down arrow to open the Apply to drop-down list as shown on the next slide. Change Margins for Selected Text Using the Page Setup Dialog Box l You can change margins for selected text or selected sections. – Sections can have their own formatting. – A double-dotted line appears when a document contains more than one section. – When you change margins for selected text, you create new sections. l See the next slide for how the screen looks for adjusted text. Changing Margins in Page Layout View In Page Layout View, you can see how text will be positioned on the printed page. l It displays headers, footers, and other page elements not visible in Normal view. l In Page Layout View, you can change margins using the ruler. l To change to Page Layout View… l – Use the Page Layout View button on the horizontal scroll bar. – Choose Page Layout from the View menu. Changing Margins with the Ruler Bar l To change margins, click on the pointer over the left margin boundary on the ruler bar, and move it to the area desired. Word, Chapter 6, Margins 14

Displaying the Ruler Measurement l From the ruler bar, if you hold the Alt key while dragging the boundary marker for the left and right margins shows the ruler measurement or fully displays the margin size. Word, Chapter 6, Margins Look at the Next Slide 16

Changing Margins in Print Preview l Print Preview displays the entire page of a document in reduced size, so you can see all four margins at once. l This view allows you to see the effect of the change on the whole page and on the entire document. Word, Chapter 6, Margins 18

Changing Margins in Print Preview l Go to the top of the document or the text to be changed. l Select Print Preview from either the File Menu or by clicking on the Print Preview from the formatting toolbar. l If necessary, click the View Ruler Button to display the rulers. Mirror Margins and Gutter Margins l Mirror and Gutter Margins are terms used when speaking about bound materials. l Mirror margins are outside margins on facing pages that mirror one another. l Gutter margins add extra space to the inside margins to allow for binding. Word, Chapter 6, Margins 21
Working with Mirror Margins l Select Page Setup from the File Menu. l Select Mirror Margins from this menu. l When you do this, the dialog box where you change the left and right margins become labeled as Inside/Outside and a two page document is displayed in the preview area. Hyphenation l Word uses three types of hyphens – Normal Hyphen: Use for words that should always be hyphenated: twenty-three – Nonbreaking Hyphen: Used when a hyphenated word should not be divided at a line break: Minneapolis-St. Paul. – Optional Hyphen: Indicates where a word should be divided only if the word falls at the end of a line. Creating Those Hyphens l To create a nonbreaking hyphen: Key the word, then where the hyphen would be inserted, type Ctrl/Shift/Hyphen Key. l To create an optional Hyphen: (Ctrl/Hyphen) Word, Chapter 6, Margins 25
Automatic Hyphenation l Word will allow you to control the ragged edges at the end of the sentences by using hyphenation. l To make changes to the way a document is hyphenated: – Select Language from the Tools Menu. – Click the cascading menu which opens the Hyphenation Dialog Box – Several options are then made available. Guidelines for When to Hyphenate l Do not hyphenate between initials (GHE) l Do not hyphenate between contractions (Shouldn’t). l Do not hyphenate a word to create a oneletter syllable (such as a-ware). l Never have more than two lines hyphenated consecutively. Word, Chapter 6, Margins 27

Inserting Date and Time l You can insert the date and time in a document as a field. – With the field inserted, Word will automatically update the date and time each time you print the document. l. A field is a set of hidden codes that tells Word to insert specific text. Word, Chapter 6, Margins 29
Insert the Date and Time l Select Insert from the menu. l Choose Date and Time from the options available. l Select how the date and time are to be displayed in your document by highlighting your selection, and clicking okay. l There is an option if you want the date to update automatically.
