TO APPROXIMATE JUNE PASTURE: THE DOCUMENTATION STRATEGY IN THE REAL WORLD Tim Ericson
TO APPROXIMATE JUNE PASTURE: THE DOCUMENTATION STRATEGY IN THE REAL WORLD Archival repositories in the Milwaukee, Wisconsin, metropolitan area collaborate under an NHPRCfunded grant. Served as a two-year test of the documentation strategy conceptual framework. Four Phases: choosing & defining the topic to be documented selecting the advisors & establishing the site for the strategy structuring the inquiry and examining the form & substance of the available documentation, and selecting and the placing the documentation
PROBLEMS Repositories with limited resources could participate in only a limited way. Clash of Internal & External priorities. Problems with: Collection analysis The drafting of acquisition policies Sponsoring a series of panel discussions with records creators & researchers.
ASSESSMENT OF STRENGTHS & LIMITATIONS Follow-up survey rated various aspects of the process for those involved. Workshops Opportunity to load archival holdings into the national OCLC bibliographic (group LCOMM membership) Panel Sessions New institutional collecting policies Collection analysis
ANALYSIS OF THE AUTHORS EVIDENCE Recognition of shortcomings, coupled with redeeming qualities of the project. Project helps those considering undertaking a project of this nature to set the framework in advance. Alleviating coordinators the headache of repeated problems in the process.
OUR THOUGHTS The analysis was helpful to both defining and determining a documentation strategy. The process can be scaled for larger or smaller projects, increasing its relevance. Great ideas for ways to help archivists improve appraisal, description, and archival skills in a realistic, real-world setting.
