Clarity Time Sheet Reference Guide Populate Timesheet • Click Populate button on the bottom of the timesheet • System populates timesheets with tasks that have been set up on individual projects Additional Tasks Needed • Select Add to view listing of additional tasks • Click box to left of task to be added to timesheet • Select add to add task to timesheet • Click Save to save added tasks Remove Tasks Not Needed • Click box to left of task to be removed from active timesheet • Select Delete to remove tasks and add to Tasks List • Click Yes to confirm removal • Click Save to save changes Enter Time • Enter number of hours worked on each task by day • Auto distribute hours • Enter total hours in Total Column and Click Save • Click Submit for Approval at end of week to submit timesheet for approval Timesheet Statuses • Open • Timesheet not yet submitted for approval • Submitted • Timesheet submitted for approval • Returned • Timesheet rejected by approver and returned for corrective action • Approved • Timesheet approved and cannot be modified • Posted • Clarity job that post the actual hours to the system • Adjust • Only posted timesheets can be adjusted Overview • Used to record ACTUAL time worked by week • Team members receive weekly assignments on timesheets • Team members track time and submit timesheets weekly • Timesheet approvers approve or reject submitted timesheets • System process posts all approved timesheets • Project Managers analyze and re-plan their projects based on posted actual hours Correct Returned Timesheets • You will receive an email stating timesheet is being returned • Open returned Timesheet • Make corrections • Click Submit for Approval Other Functions Print Timesheet • With timesheet open, click the Printable Version link found at the top right and bottom of the screen Enter Notes • At task or timesheet level • Click on Time Entry Notes Icon to open Notes Window • Enter text for note • Enter category for note (not required) • Click Add – new note listed on Time Entry Notes Page • Notes are listed in the order they are created Timesheet Steps • Open and Populate timesheet • Add or Remove tasks • Enter daily time • Enter tasks or timesheets notes (not required) • Save Timesheets daily • Submit Timesheets weekly • Adjust Posted Timesheets (as needed)
