Sales Administration Guide, 8122 Incoming Sales Mail B. Procedures for Incoming Sales Mail The office manager (or, in the absence of that position, someone else designated by the general manager) sorts incoming Hotel mail for the sales department. Following are our quality standards for handling incoming sales mail: v Each person in the sales department must review his or her incoming mail promptly every business day. v Send a copy of all correspondence with compliments or critical comments to the general manager. Do not send copies to anyone else unless instructed to do so by the general manager. v Respond within one business day to all inquiries, including requests for proposals (RFPs), for using our Hotel. Procedures for Incoming Sales Mail (cont. ) v Send solicitations for advertising and participation in marketing programs to the general manager. If there is a deadline date for participation, take the information to the general manager and alert him or her to the deadline. v Forward invoices to the office manager or general manager within one business day of receipt. If the invoice requires the approval by the director of sales before submittal to the general manager, make those arrangements and then submit the invoice. v Forward mail to be held for the arrival of a guest or group to the guest services department.
