The Purpose of This Policy The purpose of this policy is to control the potential added expense and lost revenue of complimentary and discounted rooms that do not benefit the Hotel. Sales Administration Guide, 8110 Complimentary and Discounted Rooms B. Responsibilities The Hotel team member requesting a complimentary or discounted room is responsible for preparing a Complimentary/Discounted Room Request form and submitting the completed form to the Hotel general manager. The general manager is responsible for approving or disapproving requests for complimentary and discounted rooms. The team member requesting a complimentary or discounted room is responsible for distributing approved Complimentary/Discounted Room Request forms. Sales Administration Guide, 8110 Complimentary and Discounted Rooms C. Procedures for Complimentary and Discounted Rooms Sales team members are encouraged to give complimentary and discounted rooms when it benefits the Hotel to do so, such as for promoting business. The general manager must approve in advance all complimentary rooms and all employee-rated rooms. The general manager also approves in advance discounted rooms on nights with peak demand. To request a complimentary or discounted room, prepare a Complimentary/Discounted Room Request Form and submit it to the general manager. The form is available on MMI Team Site. Once approved or disapproved, the general manager returns the signed form to the requesting person.
