Overall Project Pulse- June 2020 With the additional 6 months added to the timeline, the PMO reported a small variance away from green due to the open integration and reporting. Scope is green. Changes to configuration or in scope are being vetted through the PMO Change Management Board. Resources is trending back to green. WSU Training Coordinator is vacant. The impact is partially offset by a new WSU resource. Budget remains green. The project timeline extension will be covered within the existing budget contingency. PMO will continue to monitor risks, issues and decisions for impacts on the budget.
Summary of Status- June 2020 The Washington State University (WSU) Project Status dashboard has been focused on reporting the status of deliverables, risks, issues and key activities each month. For June, the PMO reported a completion of End to End testing and has started full preparations for User Acceptance Testing. The PMO deemed all work streams to be green for the month except for reporting and training. Highlights include: • Completed Mock UAT Tenant Build (data conversion). • Resolved and closed 99 open Configuration and Decisions, with 5 remaining open. • End to End Testing: Completed 3, 842 scenarios out of 3, 849 total scenarios, with 2 scenarios to be retested related to benefits, and 5 scenarios to be retested related to the last integration. 1, 096 defects closed out of 1, 099 defects, with 1 medium defect related to benefits, and 2 medium defects related to the last integration. All items transitioned to UAT or logged as Action Items by PMO. • Integrations: During the month, 13 additional integrations were tested and signed off, bringing the total completed up to 92 (up from just 9 completed in February). PMO also noted 10 template loads in scope for the team. PMO decided to track those template loads like the integrations (often called “easy EIBs” by the software provider) to ensure proper monitoring.
Summary of Status- June 2020 (continued) • Training: Finalized all training materials in scope to be ready for testing with UAT. This includes 103 quick reference guides, 31 instructor led courses, 27 micro learning or videos. Based on feedback received, the Training Team recommended that an additional 52 training resources be developed in July to assist with user adoption and support in central offices and distributed areas. PMO reviewed the request against the project plan and resource planners and decided to add the 52 materials as in scope for the project. • Reporting: 20 custom reports were completed since the last steering committee meeting. PMO is reporting as yellow as progress is slightly behind schedule and requires focused attention. Need to increase throughput of critical and high reports in order to stay on schedule. • Data Conversion and UAT Build: Finally, the project started the UAT tenant build. Executed pre-validation process to confirm alignment of crosswalks and configuration. Data conversion was completed ahead of schedule, with 76 of 114 loads completed with 100% load success including Hire and Grants. Overall record success rate is 99. 3%. Focused attention is still needed on inception to date loads and budget conversion.
