Salary Information §Monthly employees are paid on the last working day of each month §Semi-monthly employees are paid on the 15 th and on the last working day of each month §New hires will receive 1 -2 hardcopy printed checks with subsequent checks being direct deposited into your designated bank account. Failure to submit proper documentation may delay direct deposit setup. §Access Employee Self Service through the district website under employees. The default username is you 5 -digit employee ID, password is the last 4 of your social. This will allow you to view your pay stubs and W-2 form. No paper W-2 will be provided to employees in January. § Additional compensation for added responsibilities such as Coaching, Extended Day, or Extended Year Supplements, will be processed when the necessary paperwork has been submitted to Human Resources by the respective supervisor (i. e. Athletic Director or Principal). • Employees who are hired after the 1 st contracted day will receive prorated pay.
Job Related Experience Verification *****IMPORTANT***** Job related experience must be verified by the previous Employer/District before the employee will receive compensation based on experience. Employees must have worked 63% of the year to receive credit. Until the experience verification form is received in HR, the employee will be paid at zero (0) years of experience. You are responsible for providing this verification. Experience Verification Forms can be provided today, upon request or found on the HR website.
Leave Accrual • Sick leave is accrued on a monthly basis at 1. 25 working days for each completed month of service. • Unused sick leave is transferred from prior Georgia school district up to a maximum of 45 workdays. A maximum of 10 days is transferred from a Georgia state agency. • Sick leave is transferred from prior Georgia school district or state agency using the Experience Verification form. • Three days of sick leave may be used as personal leave each year. Personal leave is deducted from your sick leave balance. If personal leave is taken and the employee does not have sick leave, the leave will be without pay.

Benefits Eligibility / Payroll Deductions New Employee Benefits begin the 1 st of the month following a full calendar month worked Examples: Hire date 9/2/19 - 10/1/19 Benefits Effective Date 11/1/19 Hire date 10/2/19 - 11/1/19 Benefits Effective Date 12/1/19 Note: Premiums are payroll deducted the "month prior" to coverage effective date Exception: Flexible Spending Account payroll deductions begin the "month of" coverage effective date Semi-Monthly Employees: Payroll deductions for benefits will be split between both paychecks each month • No changes to Benefits allowed until Open Enrollment without a Qualifying Life Event • Qualifying Life Event changes are allowed within 30 days of the event • i. e. marriage, birth, death, loss/gain of coverage – allows updating health plan, change or add benefits as needed • Open Enrollment is mid-October through early-November each year, for January 1 coverage • During Open Enrollment, all benefits eligible employees receive an enrollment packet and are allowed to make changes. All employees should participate in Open Enrollment each year, including new hires. • Employees hired 9/4/19 and after only need to participate in Open Enrollment if they desire to continue or add a Flexible Spending Account.
Summary of Benefits Bibb County School District Summary of Benefits • State Health Insurance is offered in all Georgia public school districts and certain Georgia state organizations, whether working in Bibb, Houston, Monroe, etc. If you worked in another Georgia district or Georgia state organization through the end of the school or fiscal year, which offers State Health insurance, your health election or declination will transfer with you. Changes will be allowed at the next open enrollment. • "Local" benefits, such as dental and vision, do not transfer. If you are a transfer from another Georgia district or Georgia state organization, local benefits will end with your prior district /organization, and benefits you enroll in with BCSD will begin on your effective date. This includes disability plans. New Hire Checklist – complete both online processes by deadline provided The District encourages all employees to get the Hepatitis B vaccination. State Health covers this vaccine at 100%. A Cafeteria Plan is a reimbursement plan governed by IRS section 125, which allows employees to make certain payroll deductions on a pre -tax basis for the benefits listed. See page 2 of Summary of Benefits.
Mandatory- Non-Medical BCSD Benefit Elections All BCSD "local" benefit elections are made via the district's online electronic enrollment system, which is maintained by our District's Benefits Broker, Houze & Associates. Please follow step-by-step instructions, re-enter your PIN in order for enrollments to be complete.

Group and Supplemental Term Life Basic Group Life is provided by the district at no cost to employees. The benefit is 1 X your annual salary, rounded up to the next $1, 000. An equal amount of Accidental Death is included with the benefit. • • $10, 000 minimum $50, 000 maximum Supplemental Group Life Coverage is available on Employees from 1 to 5 times annual earnings rounded to the next $1, 000. Guarantee Issue as a new hire is up to 3 X earnings to a maximum of $500, 000. Medical approval required if coverage is not added as a new hire. Dependent Life $5, 000 Benefit for Spouse & Child(ren) age 14 days to 19 or 26 if a full-time student. A reduced benefit of $500 for Child(ren) age 14 days to 6 months is also available. Medical approval required for family if coverage is not added as a new hire. If both spouses work for BCSD, only 1 spouse may cover children on dependent life. • Beneficiary Data Must be listed on the Non-Medical BCSD Benefits/Houze Website for life insurance purposes o List at least 1 primary and 1 secondary beneficiary (both must be at least 18 years old) • New hires are eligible for the term life insurance policies, but during open enrollment in the fall, employees may also enroll in whole life. These whole life policies are portable at the same rates upon retirement or resignation.
Flexible Spending Account / FSA § Medcom is the FSA administrator § The Flexible Spending Account offers a tax-advantage of paying your out-of-pocket medical expenses and dependent care expenses with pre-tax dollars – all with the convenience of a Mastercard. Look for your debit card by mail after you enroll! § Two accounts to choose from: § Dependent Care FSA (daycare, after school program fees) - annual max $5, 000 per household ($416. 66 per month) § Use-it-or-lose-it - all funds in account must be used by December 31 § Wait until payroll contribution is made for reimbursement § Healthcare FSA (medical, dental, vision - non-cosmetic costs) - annual max $2, 650 ($220. 83 per month) § Up to $500 may be rolled over to next year for active employees § May use annual contribution on coverage effective date § Keep all receipts, even for debit card purchases – documentation may be requested § Employees do not have to be enrolled in district health plan or other plans to participate § IMPORTANT NOTICE: Flexible Spending Benefits are only available to “active” employees. If you leave the district, the amount of money remaining in your flex account is forfeited. Your flex card will become inactive on the month your employment/contract ends. In addition, if you are in a “leave without pay” status, your card will be inactive during the months you are out. § FSA contributions must be re-elected each year during open enrollment in order to continue contributions during the next calendar year.
Cigna Disability Plan Options Cigna Disability Plans offer partial income replacement for employees who are ill or injured and unable to work • Choose Monthly Disability Benefit: Elect from $200 to 66 2/3% of your monthly salary. The monthly benefit check is issued by Cigna, not the district. • Choose Plan: Plan 1 (payable to age 65) or Plan 2 (payable for a maximum of 5 years) - both plans work as a short term plan, and convert to a long term plan as needed. The difference is how long the plan would pay in the event of a long term disability. • Choose Elimination (waiting) Period: choose from 5 waiting periods: 14, 30, 60, 90 or 180 days - the number of days you must be out of work before you become disability benefit eligible. You must use sick leave before you receive the disability benefit. • NOTE: If you become eligible to draw social security or retirement while receiving disability, the amount of disability will decrease. This could cause requirement of re-payment of funds already received. • Maternity Benefits: Paid the same as any illness; employees must exhaust sick leave before receiving a disability benefit. • Pre-existing Condition: The plan does not pay a benefit if the disability is due to a pre-existing condition, and you become disabled during the first 12 months coverage is in effect. A pre-existing condition is any condition, including pregnancy, for which you received treatment or consultation within 3 months prior to coverage effective date. • Refer to www. houze. org/bibbschools for more details.

I Mandatory – Medical Benefit Election Medical benefit elections are made via the SHBP/ADP online enrollment system. Dependent Eligibility: Your children and step-children (to age 26), and legal spouse are eligible for health insurance. • Dependent Verification SHBP requires documentation confirming eligibility of newly added dependents/spouses covered under the Plan. If you elect to cover dependents, they will be placed in a pending status until the required documentation is received by SHBP. • • • Upon enrollment, single coverage only will initially be provided; however, SHBP will request verification documents for family member(s) added to your health plan. SHBP's request will be sent by e-mail and/or U. S. mail. • Please respond to the request ASAP. • Once SHBP receives dependent/spouse verification, the dependent and/or spouse will be added. Payroll deductions for health insurance will only be made for verified dependents. • • • If a dependent and/or spouse is added to your health plan, and is in a pending status when the payroll deduction file is received, a payroll deduction for single coverage will occur until you verify the dependent/spouse. Once the dependent/spouse is verified, coverage will be updated retroactive to the benefits effective date. SHBP will submit that information to the District, the payroll deduction will be updated and adjustments will be made if necessary.
Complete by Deadline • New hires must complete both online processes outlined during your New Hire Session by the deadline provided. • Exception: Transfers from other Georgia districts must complete the BCSD Benefits online process only. • Failure to complete the online process(es) by the deadline will forfeit the opportunity to enroll in employee benefits until the next open enrollment period.
Teachers Retirement System §All eligible employees are required to be a member of the Teacher Retirement System of Georgia (TRS) as a condition of employment. §You should receive a packet from TRS, which will include your TRS ID. After receiving your packet, please visit www. trsga. com to list your beneficiary information. §Members currently contribute 6% of their gross salary on a before-federal tax basis. The District also makes an additional contribution which helps fund TRS for current and future retirement benefits and is not part of your account, and is not refundable should you terminate TRS membership. § Member contributions are refundable, if employment terminates before you are vested in your retirement system.
