USING POSITION CONTROL IN HR @GPUG 13
AGENDA § What is Position Control? § Setting up Position Control § How Payroll is Affected § Importing Position Plan Info from MS Excel § Assigning Employees § Budgets § Reporting 14
WHAT IS POSITION CONTROL 15
WHAT IS POSITION CONTROL? “A workforce planning tool that imposes certain rules or restrictions on the creation, and filling of positions as a means to manage and control the costs associated with any given position within the organization. ” Source: Society for Human Resource Management, SHRM Glossary of HR Terms 16
WHAT IS POSITION CONTROL? § It is a position-centric view of the company § Set the number of seats within positions and how you plan to fill them 17
SETTING UP POSITION CONTROL 18
SETTING UP POSITION CONTROL § Make sure it is registered – it’s in GP 2013 (part of Starter Pack) § Set up options (HR & Payroll area >> Setup >> Human Resources >> Position Control) § Set up Position Plan Codes § Import a position plan from MS Excel § Set up position codes § Set up position seats 19
SETTING UP POSITION CONTROL § Add Employees to Seats § Set up Position Budget Schedules and Fund Sources 20
POSITION CONTROL SETUP § Assign passwords for overriding information § Select the way to handle unassigned positions in payroll 21
POSITION CONTROL PLAN CODES § You must have at least one position plan § You can copy it to new plans § You can have multiple position plans 22
SET UP POSITION CODES § Many more fields and buttons to open other related windows on the Position Setup window. Plan Code Employee Defaults Accounts Vac/Sick Budget/Wage 23
SET UP POSITION SEATS FOR A PLAN 24
HOW PAYROLL IS AFFECTED 25
HOW PAYROLL IS AFFECTED § You can remove payroll transactions that have positions that are not part of the current plan – don’t pay people to work in positions that aren’t budgeted § You can update pay rates based on seat detail records – make sure employees are paid correctly based on the position 26
WHEN TRANSACTIONS ARE REMOVED § There was a problem with the inheritance process and information was not completely copied from the position and seat to the employee record. § The employee is not assigned to a seat detail record for the position that is assigned to the payroll transaction. § The assignment status is On Hold without Pay and Benefits for the seat detail record for the employee. § The assignment status is Expired for the seat detail record for the employee. § The payroll transaction date is outside the start date and end date range for the seat detail record. § The seat is inactive. 27
UPDATING PAY RATES BASED ON SEAT DETAIL RECORDS § You can set pay rates based on seats instead of using the pay rate on the Employee Pay Code Maintenance window § Pay rates from the seat detail records override the pay rate from the employee during the Payroll Build process. 28
UPDATING PAY RATES BASED ON SEAT DETAIL RECORDS § The Seat option is selected in the Pay Rate Based On field in the Position Seat Detail window. § The employee is assigned to the seat. § The payroll transaction date is between the start date and end date for the seat assignment. § The pay code is the primary pay code for the position, or a pay code that is based on a primary pay code. For example, if the primary pay code is Hourly, the related Overtime pay code is also overridden. § The frequency of the pay code in the Position Seat Detail window matches the frequency of the pay code in the Employee Pay Code Maintenance window. For example, if the pay code is a weekly amount in one window, it must be weekly in the other window. 29
ASSIGNING EMPLOYEES 30
ASSIGNING EMPLOYEES § Done from the Position Seat Detail window § If the seat is inactive, you cannot assign employees to it § You can assign substitute employees § There is no automated way 31
BUDGETS 32
BUDGETS § Done from the Position Budget Schedule window § Assigned to position/plan combinations § Can also assign fund sources to budget schedules 33
