Website Training For Ingleby Arncliffe Ingleby Cross Parish
Website Training For Ingleby Arncliffe & Ingleby Cross Parish Council 1
Webmaster • Lizz Hepple • I am a Graphic Designer • Experience: Editor of the News & Views, worked as a graphics technician until 2004 at Hambleton District Council. You may have seen some of my work on the planning sections of the website, also the Local Plan and the Hambleton Biodiversity Action Plan. • Previous to this I worked for a few commercial printers and Little Chef whilst studying at College. 2
Before we start the website: Design Notes (this applies to other things as well) • The 3 R’s: Recent, Relevant, Right! • In the good old days of typewriting, we had only one font/typeface and we used capitals and underlining to make things stand out. We also used two spaces after punctuation. • Now we have Computers, there is no longer a restriction on the font/typeface and size we can use therefore - NO ALL CAPITALS. This can be read as shouting. No underlining - this can make text difficult to read and lastly one space after punctuation. • This site also has a mobile site, so things need to be clear so that it can be viewed easily on these devices 3
• To get around this you can use a larger font, make it bold or italic or all, or you can change the font entirely (but don't go mad, 2 or three differing fonts per article is usually enough) • Text colour: please don’t use light colours (yellow, orange, light blue, light green) as these can’t be read very well against a white background, preferably just use the black. • Also, please don't cram all the text together by making the leading (the space between the lines) too small, as this will make it unreadable. • And lastly, don't make each line too long, 8 to 10 words is enough, otherwise your eyes 'fall off' the line and you get lost. If in doubt, print it out and see. You can always make it into Columns. 4
Pictures • Pictures should be of a good quality, good subject and of a good provenance. Using pictures from other places without permissions could end up with court action or a fee being asked for! • All pictures used should gave the permission of the copyright holder, commercial or otherwise. Copyright/by kind permission of info should be shown alongside the picture and in alt text if possible. • Some people use a 'reader' to browse the Internet, so when creating any items for insertion on the website, save it as something meaningful, agenda. docx or image. jpg is not sufficient. Imagine searching for a meeting agenda and finding agenda 1, agenda 2 etc. Or looking on a gallery and finding image 1, dsc 001256 etc. Really thrilling! 5
Documents • Search engines also use the name when searching, so get it right! • Sizes for use on this website: 2000 pixels along the bottom edge at 72 dpi will be sufficient to use as a large picture spread across the whole page, so if all are like that then there will be no problems. • It is a good idea to attach PDF files rather than word processing files as you can't view word files on all platforms. • When creating your PDFs files set it to the lowest settings possible so that files aren't too big and won't take forever to download. If in doubt, change some settings and see if these make a difference. 6
• Give your files a useful name: Agenda 12 -03 -16 rather than 16312 ag or similar. Search facilities will find the files easier and people can see this more easily. This goes for photos too. • If you have used non standard fonts (not Arial or Times New Roman) in a poster for eg. then ask the PDF creation programme to embed or subset the fonts used, so that anyone on any platform can view it as intended even if they don't have the fonts on their system. 7
Weebly • Weebly has been chosen as the platform to create the website and each will have their own areas to populate with their own information. • We are hoping that this will provide anyone with a basic knowledge of Word or similar to use it without too much effort. 8
How this will work • Each person will be invited to be a user and will then be able to work in their own areas. • If you spot a problem with another area, then please inform that user. • Gmail accounts will be set up which can be downloaded to your outlook account. webmaster. IA&ICPC@gmail. com, Chair, Finance for job titles so that a change in office doesn't mean a change in website. Also personal ones i. e HWarhurst. IA&ICPC@gmail. com. These will be the way that the website users will contact you and protects you from endless spam to personal addresses. 9
Help • I am around, but not always on the computer, so my landline is 01642 700112 or you can text to 07956 126983 (ringing me at home on the mobile can be frustrating – bad signal) • The Weebly website has lots of tutorials if you can't get in touch with me. • You can always ask some of the other users. 10
Suggested way to work. • Type up your copy in Word or other word processing program and save it. • Get it all right, especially names of people and places. • Sort out where your pics or documents are located • Log in to Weebly and start creating or editing your page • If new page, choose your template. • Then you can copy your text from your word doc and paste it into the relevant area. 11
• You will the need to apply the type styles already created to the relevant pieces of text. • Upload your picture or document - remember the alt text. • When you have got all the pieces on the page have a look and see if it looks ok. • Publish it. 12
• Remember - we are all in this together! • This is your website - own it, be proud of it. If you do a half hearted job, you'll only get half hearted viewers. • We are all learning this together (and me!) • We will inevitably make mistakes (especially me!) • Yes, it is really annoying when things don't go right, and you don't know what's happened, and it has to be done, like, now! • Walk away, leave it be, have a drink, walk round the garden, have a good swear and do it later. No one will die and the world won't end if it's not done now. 13
