I. Scope of Work What is Captiva? -Optical Character Recognition product. -Transforms paper transcripts

Scope of Work What is Captiva? -Optical Character Recognition product. -Transforms paper transcripts into electronic data. -Includes tools for automatic classification of documents and extraction. -Feeds data to Banner, determines if articulation is needed (not everyone needs articulation). What features do we need in a CAPTIVA replacement? -Purchase new scanning software and consulting services to implement comparable college transcript data extract. -Purchase Captiva software (if we go with them) and consulting services to convert existing project with utility - In addition to points above, professional services to enhance current Banner integration to automate articulate and roll, and add credit in Banner -Instead of purchase, outsource capture of transcript contents and have the company send us a data file. -Submitted transcripts used by WSU for admission purposes and for transfer credit evaluation with possible expansion to use for High School transcripts, Financial Aid documents, etc.

I. Scope of Work Why do we need a replacement product? -Windows 7 support is ending on Jan. 14, 2020. We need to get software that does what Captiva does that works with Windows 10. Current Captiva is running on Windows 2008 server-we need to upgrade software to use a newer server that WSU now has. What does Captiva do for us? -Scans transcripts from our top feeder schools -Does a match algorithm on transcript information -Captures course, credits, grades, degrees, MACRAO and MTA codes -Auto loads majority of captured data and any manually entered into Banner

I. Scope of Work How does current process work? -Transcripts are received and scanned by Admission staff, name is verified and template is chosen -Templates tell where to store data. Currently have 73 templates for 68 different schools -Admissions staff do name look up, enter additional data for attendance period, degree code, term code, GPA and total number of credits --Captiva captures data and writes to Oracle tables, import and index to Xtender and keeps batch data. -Puts data into SHATAEQ (transfer credit Banner worksheet) for transfer credit evaluators to access for processing. -Staff runs ‘inbox’ report to retrieve list of transcripts to be evaluated -Staff accesses data in Banner, reviews, runs articulation, rolls equivalencies to history. How many transcripts are received and scanned annually? -approximately 12 K docs in Captiva annually (5700 new credit – 85000 courses extracted) How many transcripts are evaluated by Transfer Credit staff annually? -approximately 18 K
