CREATING & MANAGING COMMITTEES
What is a Committee? A committee is a group of people who work together for a common purpose. Composed of a chair who monitors and directs with members that help to complete the task. Using committees allows you to delegate the officers workload.
Who Should be on a Committee? Every member of your club should be on a committee. To select members for committees, ask them about what interests or bothers them. As Vice-President, you are an exofficio member of all committees and are responsible for them.
How to Develop and Manage a Committee Identify an issue in your club. Find an active member concerned with this matter and ask him or her to serve as the committee chair. With the chair, select other people to be committee members. Create a list of committee guidelines and objectives with the chair. Monitor the progress of the committee by attending meetings. Give the Secretary a monthly report of events.
An Effective Committee Structure Key Club International recommends that every club have the following committees: Kiwanis Family Relations Committee Major Emphasis Program (MEP) Committee Membership Development Committee Program Committee Project Committee Public Relations Committee
RUNNING A MEETING
How to Run a Meeting In the absence of the president, you must be ready to run a meeting. Example: Call the meeting to order. Have the members recite the Key Club Pledge and Pledge of Allegiance. Host an icebreaker to energize the members. Cover all upcoming events by using a Power. Point Presentation or other resource. Allow guest speakers to present. Adjourn the meeting.
Preventing Potential Complications Many times a president can be absent with minimal if any notice. To prevent complications: Contact the President the night before the meeting. Make sure you have a copy of the agenda and any presentation aids. Arrive to the meeting a few minutes early to ensure that the President has everything together. Familiarize yourself with the way a club meeting operates.
IMPROVING CLUB MEETINGS
Icebreakers and Energizers At one point or another, every club receives a copy of 44 Ways to Make Your Meetings Move. This book contains “Energizers” and “Icebreakers” for your meetings. Energizer: a game or activity to “wake” members up. Icebreaker: a game or activity to acquaint members or to introduce a topic. Using these will make your meetings more exciting and keep your members engaged.
