Using the Claims Management Workbench Step 1 Begin by navigating to the Rebate Claims page. Click the Purchasing menu.
Using the Claims Management Workbench Step 2 Click the Vendor Rebates menu.
Using the Claims Management Workbench Step 3 Click the Vendor Rebate Claims menu.
Using the Claims Management Workbench Step 4 Click the Claims Management Workbench menu.
Using the Claims Management Workbench Step 5 Click the Add a New Value tab.
Using the Claims Management Workbench Step 6 Click in the Work. Bench ID field.
Using the Claims Management Workbench Step 7 Enter the desired information into the Work. Bench ID field. Enter "CLAIM".
Using the Claims Management Workbench Step 8 Click the Add button.
Using the Claims Management Workbench Step 9 Use the Rebate Claims page to maintain vendor rebate claims.
Using the Claims Management Workbench Step 10 Click in the Description field.
Using the Claims Management Workbench Step 11 Enter a description for the Claims Management Workbench. Enter the desired information into the Description field. Enter "Rebate Claims".
Using the Claims Management Workbench Step 12 Click in the Supplier ID field.
Using the Claims Management Workbench Step 13 Enter the desired information into the Supplier ID field. Enter "GBR 0000003".
Using the Claims Management Workbench Step 14 Select the Overdue Status option if you want to work with claims that are overdue.
Using the Claims Management Workbench Step 15 Select the Claims Past Due option if you want to work with claims that are past due. The system looks at the claim due date entered to determine what is past due.
Using the Claims Management Workbench Step 16 After you select the claim search criteria, click the Get Claims button to have the system display in the Claims group box all of the claims that match the search criteria selected. Click the Get Claims button.
Using the Claims Management Workbench Step 17 Click the Claim ID link to access the Claim - Details page. Using this page you can view all the detail information associated with the claim.
Using the Claims Management Workbench Step 18 The Claim Status field displays the header status for the claim.
Using the Claims Management Workbench Step 19 The Claim Date field displays the claim date from the claim header.
Using the Claims Management Workbench Step 20 The Select option next to each claim row is used in conjunction with the Apply Claim Action, Claim Status Action, Apply Process Action, and the Claim Processing Action fields. Select the claims to which you want to apply the claim action or process action. Click the VRC 0000003 option.
Using the Claims Management Workbench Step 21 Use the Apply Claim Action list to select the claim action you want to apply to all the claim rows you select in the Claims group box. Using this field you can apply the claim action you select to multiple claims. To apply a claim action to an individual claim row select the claim action using the Claim Status Action field in the Claims group box. Click the Apply Claim Action list.
Using the Claims Management Workbench Step 22 Claim actions are: • Approve: Enables the rebate manager to change the claim ID from an Open claim status to an Approved claim status. • Cancel: Enables the rebate manager to change the claim ID from an Open, Approved, or Deferred claim status to a Cancel claim status only if the claim is not included in a new claim ID—Defer Claim field is clear. • Defer: Enables the rebate manager to change the claim ID from an Open or Approved claim status to a Deferred claim status. • Unapprove: Enables the rebate manager to change the claim ID from an Approved claim status to an Open claim status. Click the Approve list item.
Using the Claims Management Workbench Step 23 Use the Apply Process Action list to select the process action you want to apply to all the claim rows you select in the Claims group box. Using this field you can apply the claim action you select to multiple claims. To apply a claim action to an individual claim row select the claim action using the Claim Processing Action field in the Claims group box. Click the Apply Process Action list.
Using the Claims Management Workbench Step 24 Cancel Deduction The system will initiate the Process Vendor Claims process that will then initiate the Claim Cancel Deduction process. This process will reverse the adjustment vouchers previously sent to People. Soft Payables for overdue and then it will regenerate the pending items to send back to People. Soft Receivables.
Using the Claims Management Workbench Step 25 Claim Settlement The system will initiate the Process Vendor Claims process that will then initiate the Claim Settlement for AP process and the Claim Settlement for AR process. These processes send expected payment from the supplier to People. Soft Payables in the form of an adjustment voucher if the Settlement Method on the vendor rebate agreement is Adjustment Voucher or to People. Soft Receivables as a pending item if the Settlement Method on the vendor rebate agreement is Check, Credit Memo, Direct Debit, Draft, or Electronic Funds Transfer (EFT).
Using the Claims Management Workbench Step 26 Overdue The system will initiate the Process Vendor Claims process that will then initiate the Claim Overdue Deduction process. This process will reverse the pending items that were previously sent to People. Soft Receivables and then it will generate adjustment vouchers to send to People. Soft Payables.
Using the Claims Management Workbench Step 27 Payment Reconciliation The system will initiate the Process Vendor Claims process that will then initiate the Claim Reconciliation process. This process reconciles the claim with incoming payments from People. Soft Payables or People. Soft Receivables.
Using the Claims Management Workbench Step 28 Print for Dispatch The system will initiate the Rebate Claim Print process. This process generates a hard copy of the vendor rebate claim that you can send to the supplier as a formal contract of the vendor rebate agreement.
Using the Claims Management Workbench Step 29 Click the Claim Settlement list item.
Using the Claims Management Workbench Step 30 You optionally can use the Override Accounting Date field to enter an accounting date to be used by the claim processing action. This date will override the claims accounting date that appears in the claim header.
Using the Claims Management Workbench Step 31 Click the Submit For Processing. . . button to initiate the process selected in either the Apply Process Action or Claim Processing Action field for one or more vendor rebate claims. Click the Submit For Processing. . . button.
Using the Claims Management Workbench Step 32 The Process Request Options page appears. Use this page to specify request options and then initiate the selected process.
Using the Claims Management Workbench Step 33 Enter the desired information into the Server Name field. Enter "PSNT".
Using the Claims Management Workbench Step 34 Click in the Run Control ID field.
Using the Claims Management Workbench Step 35 Enter the desired information into the Run Control ID field. Enter "NOTIFY".
Using the Claims Management Workbench Step 36 Click the OK button.
Using the Claims Management Workbench Step 37 The In Process button appears on the page when a process you submitted is being executed by the system. This button appears only if a process is currently running. The Claim Status Action and Claim Processing Action fields are not available for entry until the requested processing action has completed and this button no longer appears.
Using the Claims Management Workbench Step 38 Click the Refresh button to have the system refresh the information that displays on this page. Click the Refresh button.
Using the Claims Management Workbench Step 39 Click the Settlement tab.
Using the Claims Management Workbench Step 40 The Total Claim Amount field displays the total claim amount in the vendor rebate agreement currency from the claim header.
Using the Claims Management Workbench Step 41 The Total Claim Collected field displays the total claim amount collected in the vendor rebate agreement currency from the claim header.
Using the Claims Management Workbench Step 42 The Claim Amount Not Collected field displays the claim amount available for collection in the vendor rebate agreement currency from the claim header.

Using the Claims Management Workbench Step 44 The Settlement Method field displays the settlement method for the claim.
Using the Claims Management Workbench Step 45 Click the Claim Settlement link to access the Claim Settlement inquiry page. Using this page you can view the details of the settlement.

Using the Claims Management Workbench Step 48 Click the Recon Status link to access the Claim Reconciliation - Claim Details page. Using this page you can view all the claim reconciliation details.
Using the Claims Management Workbench Step 49 The Defer Claim field displays the deferred claim ID. If the claim ID has been deferred and already included in a new and subsequent Claim ID, the new claim ID is displayed here for reference. Click this link to access the Claim Details page. Using this page you can view the claim details for the deferred claim.
Using the Claims Management Workbench Step 50 Click the VAT Details tab.
Using the Claims Management Workbench Step 51 The Total Claim VAT field displays the total claim VAT amount in the vendor rebate agreement currency for the claim header.
Using the Claims Management Workbench Step 52 The VAT Collected field displays the total claim VAT amount collected in the vendor rebate agreement currency for the claim header.
Using the Claims Management Workbench Step 53 The VAT Amount Not Collected field displays the total claim VAT amount available for collection in the vendor rebate agreement currency for the claim header.
Using the Claims Management Workbench Step 54 Click the Save For Later button to save this Claims Management Workbench and its associated information. At a later date you can retrieve the workbench and continue maintaining the claim information. Click the Save For Later button.
Using the Claims Management Workbench Step 55 You have successfully used the Claims Management Workbench to approve a rebate claim. End of Procedure.
