Critical Deadlines § 31 weeks prior to event – call for papers deadline § 25 weeks prior to event – review ready manuscripts § 8 -10 weeks prior to event – sign off copyright/ final manuscript Refer to meeting specific event website for detailed critical deadlines
Abstract Submission § Call for papers § Author uploads abstract into My. Tech. Zone § Author self -selects session (and can now view session descriptions) § Adds author, co-authors, corresponding contacts and their affiliations
Abstract Submission NEW Automatic notification sent via email
Adding Participants § Participants are authors/co-authors who contributes work to the submission and will be recognized on the published paper. § Corresponding contacts differ from the author/co -authors and are individuals who need to be informed on the status or have access to update information in My. Tech. Zone § Presenters are the individuals who will present the material on-site at the event.

Abstract Process Volunteer organizer receives an e-mail notifying that an abstract has been submitted to his/her session. Upon review by the organizer, author is notified. Author can begin preparing review ready manuscript (if applicable) once abstract is approved. Automatic notification sent via email

Point • Follow guidelines on the author resources website http: //volunteers. sae. org/authors. htm • Use the SAE standard presentation template • Check website for presentation length • Upload Power. Point on the “submit manuscript tab” for organizer’s review • Upload speaker biography on the “participants tab” next to the presenters name
Preparing for On-Site § Confirm your attendance with your organizer § Upload speaker biography § Upload Power Point presentation § Presenters should bring their final presentation on-site with them § Register and make your hotel reservations
On-Site § Meet with your organizer 30 minutes prior to start of session § Speakers should sit near the front § Stick to the allotted time for your presentation § For most meetings, speakers will be rated by audience members for the Outstanding Oral Award
