TLSR Status Report – November 2018 Overall G = • Schedule G = Scope All issues are being actively managed and are normal for projects of this size and complexity. • Original R 3 scope went Live internally on November 12, 2018 and externally on November 13, 2018. Optimization projects will follow when fully tested. • Planning for the Solution Optimization including Deferrals, Consumer Use Tax, and the BLA began November. All TLSRinrisks and issues are being mitigated Top Highlights/Accomplishments Business, Configuration & Development: ü Processed 327 SQRs for Solution Change requests to address production defects, enhancements, legislative changes, and maintenance fixes. ü Held 9 meetings during the “Hard Freeze” period to review and authorize change requests, SQRs. Business Readiness and Internal Communication: TLSR Risk = Mitigating Actions When the system is under heavy user load, users may experience poor system performance. Joint testing continues. Latest results show some improvement in response time on the Wa. Tech side, but this improvement doesn’t translate into improved performance for DOR users. Wa. Tech continues to identify opportunities to improve response time. For some tax types, job roles are still being determined. Because of the tight timelines, the training material will be developed to demonstrate the steps of the system functionality. During the Tier 3 training, we will be relying on SMEs to inform staff who will be completing the specific tasks. A delay in documenting R 3 Data Conversion specifications limits DOR’s ability to catch errors and confirm business rules early, which may result in missed requirements on poor converted data quality and may require post Go-Live data fixes and additional work for agency staff. Data Conversion Specifications have been reviewed, approved, and accepted. ü Business Readiness Team worked with External Communications and Customer Experience and Communications in participating in the Taxpayer Webinar planning for Annual Filers. ü Finalized and published Demonstration Video Library content. ü Command Center operations commenced. Training: ü Completed all Tier 3 training. ü All Tier 3 steps and student guides have been added to the Help Manager. ü Communications sent to impacted staff regarding My DOR changes and checking the status of an appeal. External Communication and Engagement: ü Messages for Forest Tax and REET Filers has been sent. ü Annual Filer messaging updated on dor. wa. gov. ü Annual Filer reminder letter verified and has been sent to the printer. Architecture & Interfaces: ü Continued oversight of KOFAX End-to-End testing. ü Implemented new web service for SOS to facilitate data exchange between the two agencies. ü Closed out all technical and business pre-cutover and cutover weekend tasks. Testing: ü Testing started for City of Ridgefield on November 13. ü Testing started for City of Darrington on November 16. ü ATLAS R 3 System Test Report and ATLAS R 3 End-to-End Test Report both have been submitted and approved. Infrastructure: ü Completed R 3 cutover activities completed. Conversion: ü Finalized Data Conversion testing. ü Completed R 3 Data Conversion cutover activities. ü Completed final data prep refresh for R 3 cutover. Project Management: ü R 3 outstanding items and testing failures are now logged as defects. ü Planning for BLA (Extended Optimization) is underway.
