Title: Receptionist Overview Reporting lines / interfaces ▪ ▪ ▪ Operates switchboard system to answer incoming calls and direct callers to appropriate personnel Ensures mail is distributed to personnel and assists HR with administrative support Provides a positive presence to the company lobby Responsibilities ▪ ▪ ▪ Answer and direct incoming calls promptly Screen visitors and their access to the building Monitor visitor access and maintain security awareness Ensure checks received are sent to Finance in a timely manner Maintain clean and organized reception area and mail room Work with Exec Assistant regarding calls for owner Reporting to: Key interfaces: HR Manager Exec Asst, AP Assoc, All employees and guests Skills required ▪ ▪ ▪ ▪ Switchboard Operation Verbal Communication Professionalism Organization Handles Pressure Attention to Detail Customer Service Data Entry Key Deliverables ▪ ▪ Neat and well kept appearance Reception area clean and organized Professional, cordial to visitors, and positive attitude Transfers, announces, and pages accurately Time allocation ▪ ▪ ▪ Top Priority - Screen calls and direct appropriately As Available Between calls: 40% Accounting functions while screening calls 40% Mail – incoming and outgoing 20% Other projects as assigned | 0
