TIMESHEET ENTRY WEB (TEW) EMPLOYEE HANDBOOK

ACCESSING ATRIEVE PORTAL • To log into the Atrieve portal , go to the RVS website, click on the Atrieve badge • Enter user name and password provided to you. This is the same login information as your Rocky View email account
ACCESSING ATRIEVE PORTAL • Click on My Info (person symbol) • Click on Time & Attendance • Click on Enter Time
ENTERING YOUR TIMESHEET • The timesheet is defaulted to today’s date. Employee’s have to complete 2 timesheets for each pay period. • In the Payroll Selections box, click on the calendar icon to select the date. Employee’s can choose any date within the week they are entering.
The Payroll Selections will automatically populate with employee’s assignment location. If you have more than one assignment, you will need to select the location that you are entering time for. Selecting location to enter time for: • Choose Payroll: from the drop-down list choose Casual. The rest of the information based employee’s assignment • Choose Location: from the drop down list, employee’s assigned locations will be listed first, employee will chose which location they are entering a timesheet for. If employee has more than one location, they will need to submit a timesheet for each location. • Do not change the AUTH LOCATION SELECTION field. If you are entering time for another location, then this section would need to be changed but location has to be TEW “location name” in order for it to be submitted properly • Click on
• This section outlines the details for the pay period that employee’s are entering. Things to remember: • • Have a question or comment for your supervisor? Click on • • • Regular – employee’s assigned timed Paid Extra Time – any time above employee’s regular time but not greater than 8 hours combined with regular Paid Overtime: any time over 8 hours per day or 40 hours per week Sick without Pay: any sick time that the employee has Leave without pay: any time the employee is absent

Entry is 5 Regular and 2 Paid Extra Time @1. 0 • Thursday: worked an additional 4 hours – total of 9 hours that day. Entry is 5 hours Regular, 3 Paid Extra Time @ 1. 0 and 1 Paid Overtime @ 1. 5
EXAMPL E Assignment of 25 hours per week or 5 hours per day with extra time and over time hours When entering any time above your scheduled assignment, a comment explaining why the extra time was worked is required. To enter a comment click on the comment box Enter your comment in the comment box and click OK
EXAMPL Entries E for sick day, PL/no school days, requested and approved personal day off/compassionate leave/jury duty • PL/no school: leave this day blank • Sick Without Pay: enter any sick time you have in the week • Leave Without Pay: any requested time off • Compassionate Leave: time for compassionate leave upon approval • Jury Duty: time for any jury duty if you are summons by the court • Statutory Holidays: leave this day blank, this is calculated by payroll
ADJUSTING TIMESHEET If adjustments are needed within the pay period, simply go back in and update. If there was a mistake or a correction needed after the payroll deadline has passed, employee’s will need to make an adjustment to the timesheet for the day where the correction needs to be made. To make an adjustment, click on the calendar icon and select day that needs correcting.
Example Employee entered in 5 hours sick time by error. To correct this, the employee will need to enter minus 5 hours (-5) in the Sick Without Pay line and enter a comment as why there is an adjustment. If the 5 hours needs to be added to Leave Without Pay, then the employee would enter 5 in the Leave Without Pay line. Once correcting entries are done, click submit.
5 5 5 A confirmation page will show the timesheet entered and all adjusting entries for the week.
TIMESHEET DEADLINES AND ACCESS TO TEW • Employee is to submit weekly timesheet on Fridays. • When payroll is being processed, access to Timesheet Entry Web is closed. Once payroll has processed the timesheets, access will be re-opened. • If employee can not access a computer using their login credentials, then seek assistance from the onsite IT Tech. If the onsite IT Tech can not resolve the issue, onsite IT Tech is to submit a service ticket.
