Travel Manager Reservations Enter in your Company ID Number (CID) and log in information, select ‘Remember me’, and click Log in. Page 6 Proprietary & Confidential
Travel Manager Reservations As a Travel Manager you can book two different ways: 1) A guest booking. When creating a reservation as a guest booking, you are booking on behalf of a Traveler that has not yet setup a Traveler Profile. In order to do book a guest booking, start by clicking “Flight”, which will guide you directly into the booking path to complete the reservation. Continue to slide 8. 2) To book on behalf of someone who has a Traveler Profile within your SWABIZ account, continue to slide 9. Page 7 Proprietary & Confidential

Travel Manager Reservations Type your Traveler’s first name or last name then select Generate Report to pull up the appropriate Traveler. If you want a full list of Travelers, do not add a first or last name and just select Generate Report Page 11 Proprietary & Confidential
Travel Manager Reservations Once you have located the correct Traveler, you are able to book a new reservation or change an existing reservation. When booking on behalf of a Traveler that has a Traveler Profile, all of their Rapid Rewards information will auto populate as you complete the reservation. Page 12 Proprietary & Confidential
Linking a Rapid Rewards Account To link a Traveler profile, your Traveler will need to sign into your SWABIZ account using your specific CID number, their Rapid Rewards account number, and Rapid Rewards password. If a Traveler does not have a Rapid Rewards Account, they can create one at southwest. com/enroll. Page 13 Proprietary & Confidential
Traveler Reservations Once a Traveler is logged into the SWABIZ account, they are able to book a flight as they normally would on southwest. com by selecting the appropriate departure and arrival cities, as well as departure and return dates. Page 14 Proprietary & Confidential
Assigning Ghost Cards To assign a credit card as a ghost card, you must be a Full Access Travel Manager. Once signed in, select Payment and then Ghost Card Management. Page 15 Proprietary & Confidential
Assigning Ghost Cards Once you’re in the Ghost Card Management, you can add a new ghost card, assign a ghost card to Travelers, view/modify existing ghost cards, and run reports on the ghost card. Please note: if you choose to require a ghost card for air travel bookings, all Travelers are required to create and use a Traveler Account in order to book travel Page 16 Proprietary & Confidential
Assigning Ghost Cards Continued How do I assign/unassign a Traveler to the Ghost Card? • Sign in as a Travel Manager • Choose “Payment” and then "Ghost Card Management" • Choose “Assign” in the top left corner • A list of ghost cards will populate • Select the ghost card you want to assign Travelers to and select ‘Assign Users’. A List of Travelers will appear, and these are the Travelers that have created a Traveler Profile under your SWABIZ account • Choose the appropriate type of usage for each Traveler. Anyone with a Traveler Profile who has been allowed or required to use a specific ghost card will now have a drop down menu for payment when they book a flight or a Travel Manager books on their behalf • If you want everyone to use the ghost card, there is a ‘Require All’ selection at the bottom of the page • Once completed, click on ‘Save Changes’ at the bottom of the page Page 17 Proprietary & Confidential
Viewing Travel Reports As a reminder, only Full Access Travel Managers have the ability to view travel reports. Once you are logged in as a Traveler Manager: 1. Click on Reporting at the top of the page 2. Click on Air Travel Reports 3. Select the report type with appropriate reporting time period 4. Reports may be viewed in your browser (HTML), or downloaded as a spreadsheet. When reports are downloaded into a spreadsheet or database format (ASCII, Comma Delimited), they maybe opened in Excel or Access—allowing you to view and manage the data. 5. Click on Generate Report. Report Types 1) Master Report When generating the report, the CTM may choose how to sort the data. The options for sorting are by passenger name, by credit card number, or by the Southwest Airlines ticket number. – Air Report – Car Report – Hotel Report 2) Monthly Travel Spend Report The Monthly Travel Spend Report contains monthly travel data for all reservations made using a CID for any given company. – Air Report – Car Report – Hotel Report 3) Origin & Destination (O&D) Summary Report (Air Only) The O&D Summary report shows the city pairs traveled to during a specified time period. When generating the report, the CTM may choose how to sort the data by market pair, number of segments, total base fare or average base fare. Page 19 Proprietary & Confidential
Travel Funds Report • This SWABIZ report will allow Company Travel Managers with full access to view all unused and non-expired funds connected to their SWABIZ Company ID# • To view the Travel Funds Report, click on Reporting at the top of the page, then select Travel Funds Report • You can pull travel funds expiring in the next 1 month, 3 months, 6 months or 12 months • If your SWABIZ account has subsidiary accounts, you can view a single subsidiary or view all accounts under the Parent account • Once you have selected the appropriate timeframe and account(s), click Generate Report • The Travel Funds Report may be viewed in your browser (HTML), or downloaded as a spreadsheet. When reports are downloaded into a spreadsheet or database format (ASCII, Comma Delimited), they maybe opened in Excel or Access— allowing you to view and manage the data • Please note: the expiration date of unused funds indicates that all travel must be completed by the expiration date, not just booked Page 20 Proprietary & Confidential
