Welcome to Survey. DIG 2. 1
Let’s logon get started
Once you’re logged in, you will notice that we have a menu on the right.
At the top of this menu, you should see your user name and the server that you are currently on.
Creating New Item Groups
To create a new Item Group, click on New.
To create a new Item Group, click on New. Then click on New Group.
Here is a full view of the Item Group Maintenance page.
• In the top section, we need to fill out the following: • Code – will uniquely identify this group • Description – we will usually use this to note the form number, or the classes that will use this group of questions for their evaluations • Report Order – controls where these questions will be seen in the evaluation. In most instances, where the evaluation will ONLY have these questions and the University Core questions, this will always be 20 • Display Text – instructions for the question group as seen by the student. This will display at the top of the GROUP on the student’s evaluation.
• Example • Code: V 1_1 – because these questions were the same across several forms, the code used here is the College Code, V 1, followed by an underscore and 1 just because it was the first to be entered • Description – As I said above, these questions were the same for several forms. So, in the description and short text the course that is covered followed by the form number used are given. For example, form A 26 was used for all ACCT courses on the Vincennes campus. (We know this is Vincennes Campus because of the V 1 college code) • Display Text: This is the question that will most often be given
Code – this uniquely identifies the question. Please use the Group’s name (V 1_1 here) another underscore and the number of the question. • Description – just what it says, this is a short description of what the question is asking • Storage Options/Display Type – This will be Number/Radio Button for all the “Degree of Agreement” type questions • Display Text – This is the question exactly as the student will see it. • Required – If this is checked, the student will be forced to answer this question before moving on • Report Order – this is the order the question will appear. The computer fills this in automatically. • Don’t forget to CLICK SAVE!
Now we need to make a couple of tweaks to the first item in each group: • Click on “Edit” to the left of the first Item in the group
• This is the Item Maintenance page • Enter 5 for the Max Number • Enter 1 for the Min Number • Enter the list of values as shown • This is only for the radio button style question • We only need to enter this information on the first question of the group
Naming Convention n n In the previous example, you may have gotten a feel for the naming convention used for Item Groups, however it was not an ideal situation. When naming item groups, use underscores to separate the following: 1. 2. 3. The college code: V 1, V 2, J 3, J 6, etc. The form number: A 26, etc OR In a case such as in our previous example, use the next available number, and be sure to note the form number and any other important info either in the Description or Notes fields. Ex. J 6_FORMH 23 would have questions for the J 6 division and they are questions that were formerly on form H 23 This will make a little more sense as we go on.
Item Group Search n Reasons to use the Item Group Search: – Search to be sure there are no item groups already created for the evaluation you are working on. – Search to find the exact group needed for a particular evaluation. – Useful when changes are made in the wording of particular items. n n The Group Search is one place where using proper naming convention will make life easier for everyone – Especially YOU! Let’s see how
• The number of empty boxes here might be a little intimidating at first, but don’t worry. We’re really only going to use one or two. • Code – because everyone is going to use proper naming convention, the best way to search for items for your Division will be to type your ‘college code’ (ie. V 1) and a % in the Code box. • The % is used throughout Survey. DIG as a wildcard, like *
• Using this simple search, you can then easily find the item groups for your Division. • In some scenarios, the group name will use the form number • Ex. If you know the form number is J 12, you can do this search • And get this result: • If we click on the name of a Group, we will go to the Group Maintenance screen.
• This should look familiar • Now we can: • Add, Edit, or Delete Items in the Group • Edit information about the Group, including the name • After making changes, click SAVE
Deleting Items n To delete an individual item: – Check this box: – This can also be done in the Item Maintenance page – Then click SAVE at the top (or bottom) – DO NOT click Delete at the top unless you want to delete the ENTIRE GROUP
Setting Up Course Evaluations
To set up a Course Evaluation, click New -> New Template • Template Code – This isn’t only a unique identifier, but the naming is critical to which courses will actually use this evaluation. We’ll talk about Template Naming convention a little later • Name – This will display as large blue text at the top center of the Student’s course evaluation • Type – for evaluations this will always be Course_Eval • Entry Display – Will show as a smaller text on the evaluation. • View Display – ‘Thank You’ text displayed after student saves the survey
• Keep in mind: • Template code will be a Subject Code, such as “MATH” or “ACCT”, or Subject Code and Course Number, “MATH 101” (no space), or a CRN • Entry Display should read: “To what extent do you agree with the following statements” • View Display should read: “Thank you for submitting your evaluation. Please close this window and refresh the grade page. If your final grade has been recorded, you will no longer see the "Evaluate" link. ”
• Once the information at the top is filled out, we select the Item Groups we want to include in the survey. • The first group should ALWAYS be VU_CORE - These are the University supplied questions. • If you are unsure what group to use, use the Group Search • The third group should always be VU_OPEN – This is the single openended question. • Click Continue
• Now we will select which questions we want to include in the evaluation. • Click the “All” checkbox at the top of EACH Item Group • Click Continue
We now have a Course Evaluation Congratulations!
Evaluation Naming Convention n Naming convention in Item Groups makes your life easier, BUT: Naming convention in Template names is absolutely CRITICAL n There a couple of ways to name these: n 1. 2. 3. n By the subject code. Ex. ‘MATH’ for ALL MATH courses – regardless of campus By the subject code plus the course number. Ex. ‘MATH 101’ will create that evaluation for ALL sections of MATH 101 By the CRN. This will create an eval for one individual section of a course. Please be sure that you are entering Evaluations for ONLY the courses you are responsible for.
Getting Results from Survey. DIG
To get results from evaluations: • Click Reports • Click Evaluation Results • Enter a specific course by CRN, or a part of the course name with the wildcard - % • Change Term as needed • Department can be used when you want results from one department • Ex. “ACCT” will return ALL courses that start with ACCT
