Standalone Soft. Bank • The popularity and advanced features of Soft. Bank have led to many organizations adding Soft. Bank as a module or replacing their current Blood Bank module without changing the LIS system • Unique constraints exist when Soft. Bank is interfaced with a Foreign LIS system. Many of these constraints from foreign systems are mitigated by Client Interface Engines. • Different Clients with the same LIS system may handle these constraints in different ways depending on their LIS system setups and Workflows.
Standalone Soft. Bank with Foreign LIS systems • Soft. Bank is not the Phlebotomy System. Specimens are collected and received in the Foreign LIS • Soft. Bank must utilize Foreign LIS Barcodes on Instrumentation • Merging Ordered Tests into the Same Order/Accession/Specimen Number is controlled by the foreign system.
Standalone Soft. Bank with Foreign LIS systems, cont’d • Soft. Bank is constrained to Order, Reflex and Add-On in Soft. Bank based on foreign system requirements. This impacts Soft. Bank workflows. • Most Foreign LIS systems are setup to interface to Soft. Bank as reference lab style interfaces and not customized foreign blood bank module interfaces
Standalone Soft. Bank with Foreign LIS systems, cont’d • Many Foreign LIS systems do not allow creation of specimens from foreign systems with reference lab style interfaces. • Reflex and Add-On testing differs significantly depending on the foreign LIS • Foreign LIS systems Soft. Bank has interfaced with: • • • Sunquest LIS Mc. Kesson Horizon HLAB Epic Beaker LIS Cerner Medhost
Standalone Soft. Bank w/o Foreign LIS system • In many instances, interfacing with another LIS is not wanted and Soft. Bank interfaces directly with the HIS system. • Phlebotomy now resides in Soft. Bank. • Standard HIS interfaces do not have the same constraints as Foreign LIS constraints. • CPSI – Evident • GE Centricity
Soft. Bank Orders Interface Features • Soft. Bank can accept discrete data fields for relevant information from the HIS systems. • Reason For Transfusion • Transfusion Needed Date • Special Instructions • CMV negative Blood • HLA matched Blood • Irradiated Blood • ETC…
Soft. Bank Orders Interface Features These discrete data fields typically will require client interface engine modification of Orders messages to provide the data to Soft. Bank. Many LIS and HIS systems have limitations on providing this data in the needed Order Test Level discrete data fields.
Soft. Bank Product Results interface features • Soft. Bank provides different formats of results messages • Short/Long Text Discrete • Extended discrete • Textual formats • Message indicator that the result is for a Product
Soft. Bank Product Results interface features • Extended discrete has become more popular as many HIS systems are able to post the data in individual discrete fields. • Unit Donation Number, Unit ABO/RH Type, Unit Expiration, Unit compatibility, etc… • ISBT coded data • Product Code, Blood Type • Codabar coded data • Product Code, Blood Type, Registration • Individual Unit Status • Selected, Issued, Transfused and Released
Soft. Bank Product Results interface features • A single product result message may contain many units. • Number of units that a message can contain depends on foreign system posting.
Soft. Bank Test Results interface features • Automatic reflexing • Message indicator that the result is for a Test or Action (i. e. Rh. Ig)
Other Soft. Bank Interfaces • Soft. ID Tx • Epic Blood Transfusion Status (New to Epic 2018) • Hematology Query Result Posting • Physician Update (MFN)
® Soft. ID. Tx • Soft. ID. Tx, the positive patient identification system from SCC Soft Computer, is a comprehensive system used to manage the transfer of transfusion-related data from the patient's bedside to SCC's Soft. Bank system, Soft. ID. Tx enables users to collect transfusion-related data, assign a blood product to a courier, and verify that the product selected for transfusion is the same product assigned to the patient in Soft. Bank.
® Soft. ID. Tx • Soft. IDTx Transfusion Data can be sent from Soft. Bank interfaces. • • Transfusion Start Date/Time Transfusion End Date/Time Transfuser Patient Vitals Transfusion Volume Automated Transfusion Reaction Workup Ordering based on Vitals Real time notification of Unit Dispense Status
Epic Blood Transfusion Status • Transfusion Start Date/Time • Transfusion End Date/Time • Transfuser • Transfusion Volume • No need to Presume the Transfusion of a Issued Unit
Soft. Bank Hematology Query • Hematology Results are routed from the Foreign LIS to Soft HIS interfaces and posted via Soft customized Hematology Results posting “instrument” interface • Client interface engine “copies” results messages to Soft. Bank when the department indicates Hematology from the Main LIS HIS results interface • Only a copy of the Result message (ORU) needs to be sent to Soft.
Soft. Bank Hematology Query • This interface is simple, only designed to post the numeric data from results such as WBCs, HGB, HCT, PLT, PT/INR, a. PTT and Fibrinogen. • Results are not posted to the Soft. Bank database. • Results post to the Soft. Lab Host system • Only results will post, Reference Ranges and abnormal flags are based on Test setup. • Soft. Bank queries the Soft. Lab Host database for the results. • Soft. Bank Transfusion History Reports have the ability to pull in Hematology Results
Master File Notification for Physician Update • Many large institutions have high physician turn-over, particularly those with Residency Programs. • Soft MFN interface for Physician Update allows an automated means to keep the Soft. Bank Doctor Setup in Sync with the Hospital Physician Management system. • Eliminates the need for manual notification of Physician Updates, Addition, Activation/Deactivation or Deletion or Manual updating of the Soft Doctor setup. • Soft Physician Update interface allows: • • Adding Doctors Activating/Deactivating Doctors Updating Doctor’s information [Deleting Doctors]
Non-Interface Scenarios • Most Downtime scenarios involve paper requisitions and paper workflow. Variations in Client Policy and Procedures lead to many different Scenarios • Mass-Transfusion Protocols, Trauma Protocols and Emergency Release Protocols vary significantly depending on Client workflow and foreign system constraints. This can lead to not utilizing the interface for these events. • Many HIS systems recommend manual workflows

Interface troubleshooting • Why troubleshoot your own interfaces? • Many issues can be discovered and corrected without Soft involvement • It will always be quicker to resolve issues if possible without having to wait for Task action • Familiarity with the interfaces will instill confidence in your workflows.
Soft. Lab Host System • Soft. Lab hosts the Interface setups, interface configurations and interface troubleshooting tools. • • Interfaces services and trace files Setups: Tests, Wards, Doctors Multisite Setups: Order Codes, Result code, Charge code by facility Logs and Reports: Interface and Billing • Soft. Lab GUI (Graphical User Interface) access to all of the above.
Soft. Lab 4. 0 host
Soft. Lab 4. 5 host
Accessing Interface Setup Soft. Lab 4. 0 host Soft. Lab 4. 5 host
TRACE FILES: Trace files are viewed from Interface Setup HIS Communication
Each trace will let you know if the interface is running and will allow you to choose which day’s trace to view. The trace files can either be viewed completely or with the trace search.
ADT receiver ADT Trace file • Here we are viewing an ADT message. We can see there is an A 08 Patient update event and a A 06 patient transfer event. We can see the acknowledgement message sent back to the source. This is the message precisely as it was received to Soft. Bank.
These interfaces in interface setup use error logging. The traces can be viewed but the data in them can be confusing and irrelevant to your troubleshooting. We will be using error logging to investigate these: • Error logs are viewed through “View Existing Report”. You may use Shift-F 2 anywhere in Soft. Lab to bring up “View Existing Report”.
ADT Posting (ADTP) Error logs
System File Server (SFS) for Code Conversion Error logs
Order Entry Posting (4. 0: OEHIS; 4. 5: HISOE) Error logs
Soft. Bank Interface Logs Soft. Bank interfaces have error logging for demographic discrepancy. The Soft. Bank database will never allow MRN changes by interface messages and has more stringent requirements for what can be automatically updated from interfaced demographics.
Soft. Bank Interface Logs: Demographic Discrepancies Error logs for Soft. Bank demographic mismatches are found in View Existing Report. Demographic discrepancies are also normally set to a printer for immediate or at least daily reconciliation.
Soft. Bank Interface Logs: Demographic Discrepancies Demographic discrepancies on Order messages are found in oehis/hisoe error logs. Demographic discrepancies on order messages will prevent the orders from posting. Reconciliation must be performed prior to order posting.
Result Reporting interface are viewed either through Interface Setup traces in Soft. Lab 4. 0 or the Mo. M Console in Soft. Lab 4. 5 Soft. Lab 4. 0 Host: Result Reporting Soft. Lab 4. 5 host: Result Reporting
