Enrolment Status – change of location to store a history (PRU misalignment issue resolved with a patch) Expected first day of attendance and last day of attendance Academy convertors who hadn’t entered the new URN

Workforce Census November How did it go? Any issues? Main calls to the helpdesk were regarding new schools running the census for the first time The Df. E has updated validation query 4100 so that it checks for a missing Teacher Number when ANY of the following are present. Previously, it only looked for the presence of QTS (Qualified Teacher Status) QTLS (Qualified Teacher Learning and Skills) EYTS (Early Years Teacher Status) Staff Shared between schools -

More than one record for an individual member of the school workforce would be

More than one record for an individual member of the school workforce would be returned in the school workforce census in the following instances: • when a person is in regular service at more than one school, either via a contract or, for teachers, employed under a service agreement. For example a teacher who works two days a week in one school and three in another would need more than one record. Both schools would be expected to submit a record that reflects the time spent by the teacher in their school • when a person, teacher or support staff, ceases working at one school and begins working at another school during the period covered by the census (1 September 2017 to 8 November 2018). Both schools would be expected to submit a record that reflects the time spent in their school during that period • A school or local authority may need to submit information for a member of staff for more than one contract, or period of employment under a service agreement, in the school workforce census. This would happen when o they have more than one current contract, or are engaged to work at the school under more than one service agreement, at the Census day in one school. For example they have one part-time contract with the school as a midday supervisor and another part-time contract as an administrator, or o they have one current contract, or are engaged to work at the school under a service agreement, at the Census Reference Date and finished another period of regular service in the previous academic year. For example, they were promoted on 1 January 2018 from deputy head teacher to head teacher and so both the old deputy head teacher contract and the current head teacher contract would be returned In these cases there should be two contract or service agreements recorded for that school workforce member. There should never be two school workforce member records for the same individual in one return.

Capita Data Breach An issue was identified within the SIMS software which affected a small number of schools. If a school has imported a CTF for prospective pupils that included parents or other contacts with a name that matched exactly to a contact record already in the database, the applicant may have been linked incorrectly to this person and some data may have changed. Please be assured that this was investigated with the highest priority so that Capita could assist your SIMS Support team in easily identifying whether this may have occurred in any schools. One IT ran all necessary patches for the schools we support. We created an excel document with potential issues for all schools to check and then ran the final clean up tool once this was done. A few schools are still in the process of their checks so their tool will be ran alongside the Christmas upgrade.

Removal of Fields in SIMS Patch 24423 – Deletes all records for Proficiency in

Removal of Fields in SIMS Patch 24423 – Deletes all records for Proficiency in English information for all past, present and future students. Where a student has multiple proficiency entries, the patch will remove all instances of this. Patch 24433 - Deletes the National Identity for all past, present and future students. Patch 24372 - Deletes the Country of Birth and where present the Nationality (actually called Nation inside the expanded Nationality and Passport Details record, only where passport details are blank) for all past, present and future students.

Data Collection Sheet Issues We are receiving reports that the SIMS Data Collection Sheets after the Autumn 2018 upgrade no longer work as they should. We have released patch 24425 which after running will allow for the data collection sheets to be run.

Attendance Report One IT SS have been working with a consultant to create an attendance report that covers what a school needs on a weekly/yearly basis including everything from contextual information to attendance by year/reg and also looking at individual codes/pupils. The report has proved popular with the schools using it and we will be sending info out to all schools shortly.
