SFX KBUpdate Overview • Released at the beginning of each month; update package available on Ex Libris FTP site • Announcement on SFX customer mailing list with overview of update changes and any special instructions • Applied by customer on local SFX server, when desired (but for ASP customers, Ex Libris applies the update( 2
SFX KBUpdate Overview • SFX Knowledge. Base update consists of two parts; both parts will be applied when using the 'revision_update' program: • Software update • Updates files in sfxglb 3 instance • Creates symbolic links from the local instances to new files in the sfxglb 3 instance • Database update • Updates database of all local instances (sfxlcl 3, sfxtst 3, etc. ) in succession • Updates sfxglb 3 database, to be ready for next month's update program 3

Database Update: Step 1 • Updating the local databases • For each table, field by field comparison using three databases • New, updated and deleted items acted upon (or not) and noted New changes in delta file (package from Ex Libris) sfxglb 3 DATABASE (no localization) sfxlcl 3 DATABASE (localization) 7
Database Update: Step 2 • Updating the sfx_global database; replace sfx_global database with new database New changes in delta file (package from Ex Libris) sfxglb 3 DATABASE (no localization) • Installation is then ready to run next month's update 8
Database Update Rules • KB content in local database is automatically updated if no local changes were made to the database field which should be updated • KB content in local database is automatically deleted if no local changes were made to the database item which should be deleted • New KB content (Targets, Target Services and Object Portfolios) is added as inactive by default • Customer may choose to override update rules by applying setting at Target Service level: 9
Database Update Reports • Two formats: HTML and text (tab-delimited) • Information about: • Changed (and not changed) database items • Deleted (and not deleted) database items • New database items • Note: When items in the database were not changed or deleted automatically because of local changes: check reports and change/delete manually if necessary 10

Revision short-cuts • Step 1: set up your targets with ‘Auto. Active’ and ‘Autoupdate’ using KBManager • Step 2: set up the revision_update program as a background task (cron job) • Step 3: minimal work required when checking the revision reports 13
Step 1: Auto. Active and Auto. Update • 'Auto. Active' overrides the rule in the standard update which states that new Portfolios added to the SFX KB during the update will be added as inactive. • 'Automatic Update' overrides the rule in the standard update, which states that database items with local changes will not be updated or deleted automatically. 14
Step 1: Auto. Active and Auto. Update 1. Set all aggregator databases you subscribe to, such as Ebsco. HOST or Gale (where you subscribe to the whole package) to ‘Auto. Active’ to reduce the amount of manual work necessary after the KBupdate. 2. Set other full text packages to ‘Auto. Update’ depending on how strongly you want to monitor changes and deletions in your local SFX Knowledge. Base. 15
Step 2: run revision_update as background task Needed: • unix root password • database passwords of all instances in txt file Two options: • Cron job • Run revision_update process in background 16
Step 3: minimal revision reports checking: HTML reports • • Check the ‘not changed’ and ‘not deleted’ sections for all tables. Use ‘KB’ button to make the change/deletion in the database if necessary NOTE: • You should see only a few items in these sections of the report. If you get a lot, contact sfx_help for advice • Target Service parse_params are the most likely candidates in these categories, and the most important to keep an eye on. 17

Step 3: minimal revision reports checking: TEXT reports Use Microsoft Excel to open the files and use the ‘Sort’ option to filter on: • ‘Availability’ to view items which are ACTIVE • ‘ Target’ or ‘Target Service’ to look for specific collections where items were added/changed/deleted 19
