For the first time we are able to offer a fully integrated, online buying experience that rivals that of some online retailers… I am especially proud this solution was so smoothly implemented in the midst of a global pandemic. ” Giles Curtin, TAFE NSW General Manager Procurement, Challenge As the 2 nd largest Vocational Education Provider in the world, TAFE NSW has over 500, 000 students, 17, 000 staff, 130 campuses and an operating spend in excess of $500 m a year. The diversity of its product supply chain is unmatched given it supports more than 1, 000 courses in anything from Plumbing to Floristry, Nursing to Construction and Piloting to Puppetry… In 2017, TAFE NSW existed as 11 separate organisations, with different technology systems, org structures and product portfolios. Despite the significant spend there were no Procurement professionals and purchasing was carried out ad-hoc by teachers. Staff raised 96, 000 POs a year against 185, 000 invoices (80% of POs raised retrospectively). Only Procurement technology was SAP SRM used for ordering & receipting, no catalogues or contract register – 3, 700 staff days spent on PO processes. 3 years ago TAFE NSW commenced a program to modernize and consolidate to a single entity – a transformation on a scale not seen in Australia since the 2000 Olympics! Solution Underpinned by SAP ECC 6 ERP system TAFE NSW implemented a full suite of SAP spend management applications: - NOV 18 - SAP Fieldglass – Significant org change at TAFE NSW relied heavily on Contingent resources and visibility to guide decision-making and talent management was paramount. - DEC 19 – SAP Ariba Sourcing - Transformed TAFE NSW’s paper-based and manual processes into an end-to-end electronic workflow with pipeline, governance and compliance built in. - FEB 20 – SAP Concur Expense – In a rapid 15 week deployment, TAFE NSW moved its fleet of 1100 Pcards onto Concur from its manual legacy solution - JUN 20 – SAP Ariba Contracts, Guided Buying, Invoicing & Payments - On day 1, the solution held over 100 enabled contracts, 750 enterprise enabled suppliers, 12 configured Guided Buying tiles, 10 supplier hosted catalogues, 1 punch-out catalogue and over 100 hosted – partial catalogues. Outcome SAP Fieldglass enabled TAFE NSW to reduce manual invoicing from 17, 000 to just 24 per annum, by enabling a treasury function provided by the MSP operator. Talent insights were generated for review and decision-making at ELT and contract compliance realised more than $5 m in cost reduction benefit in year 1. More than 1100 workers were managed in the solution from day 1, with the notable success paving the way for the rest of the SAP suite… Purchasing at TAFE NSW used to be a long, convoluted and manual process, fraught with data issues that meant it averged staff 11 minutes to raise and 7 minutes to receipt a typical PO. The Ariba Guided Buying solution “TAFE NSW Checkout’ allows staff to access a suite of pre-negotiated content and pricing within 3 easy clicks and the introduction of PO flip ensures Suppliers are paid on time through automated invoice matching. Availability of relevant content is critical given the breadth of TAFE NSW’s product supply chain and the combination of catalogues and contracts available on day 1 ensured the uplift in user experience for buyers was generational.
