Sales Administration Guide, 8145 Sales Travel and Entertainment B. Summary To promote business for the Hotel, sales team members may entertain prospective clients at the Hotel's expense approved by the general manager and when following these guidelines. v Sales team members have the privilege of using the Hotel's food-and-beverage facilities at Hotel expense only for the valid promotion of Hotel business. v Reasonable out-of-pocket expenses incurred by approved sales team members for promoting Hotel business are fully reimbursable by the Hotel. Expense reimbursements must be by means of a timely written Expense Report with receipts (for all expenses) and approved by the general manager. Sales Administration Guide, 8145 Sales Travel and Entertainment B. Summary (cont. ) v Extraordinary or unusual expenses must be approved in advance by the general manager in order to be eligible for reimbursement. v When entertaining clients or prospects, do not encourage unnecessary extras, such as hors d'oeuvres, specialty coffees, expensive wines, liqueurs and expensive desserts. v Business use of a personal vehicle is reimbursable at the Company-established rate. Commuting to and from work is not a business expense, so all vehicle travel to and from home is not reimbursable.
