SERGEANT AT ARMS We have several opportunities to serve our home club e. g. as president, vice president, secretary, treasure, director or chairman. Perhaps the most exiting and the most rewarding assignment is that of sergeant at arms (SAA) no rotary club can claim to have successful meeting without an efficient and effective SAA. And let me ask you how many clubs around us can boast of a good SAA? Obviously not many. Is it because SAA is perceived as a low status-low glamour job? But I fairly believe, after serving as a dist. sergeant at arms since last two years at different occasion, the reason for this paradox lies on the lack of information about what SAA is and what he or she does, and what kind of opportunities he or she comes across? Therefore, let us discuss the role, responsibilities, and opportunities of an ideal SAA.
ROLE &RESPONSIBILITIES 1. 2. 3. 4. 5. 6. OF SAA is a club officer. He(she) helps to maintain an orderly, dignified and effective club meeting, one that will make the right kind of impression on the club visitors and guests. SAA should be the first to reach at the meeting place, some 30 minutes before the scheduled starting time. SAA checks that everything is in place and in order e. g. dais, chairs, gavel, gong, flags, mike, projector, screen, podium, badges, bouquets, snacks, tea-coffee, padpencils, other logistics etc. . SAA set the seating arrangement in co-ordination with president or convener of the meeting. SAA waits near the entrance to welcome the members, guests and visiting rotarians. saa makes the visitors feel at home, introduces them to members, helps their signing the muster and ensures their comforts. SAA remains in the eye contact of president or convener, signals that everything is alright and meeting can start.
ROLE &RESPONSIBILITIES 7. 8. 9. 10. 11. 12. 13. OF SAA keeps an eye on late arrivals and early departures. SAA makes sure that everyone is properly seated properly in the audience, that vacant chairs are not left in the centre or in the front. SAA ensures that silence is maintained during the proceedings. SAA gives special attention to guests and visitors to make them feel like visiting again. SAA escorts VIP guests to proper places. SAA should collect programme details and copy of the agenda one day prior to the function, so that logistics can be worked out smoothly. SAA should be ever smiling. SAA should always be alert during the meeting & never be seated during the meeting.
ROLE &RESPONSIBILITIES OF SAA 14. SAA should be polite while talking with the people, SAA should never reply rudely in case of unexpected reply from any person. 15. SAA makes people comfortable with some humour during the breaks, interact with people and make new friends, get the feedback from the audience about the subject and the speaker and convey to president. 16. SAA leaves the meeting venue after checking all the logistics. 17. SAA works closely with chief district saa to help schedule, coordinate& plan various district events viz intercity forum for a workshops etc. In his or her assigned area. 18. SAA promotes district events in the clubs, if necessary by arranging club visits & joint meeting of 2 -3 or more clubs. 19. SAA encourage & ensure attendance at district eventsdistrict assembly, district conference district fellowship meets etc.
