THE DISTRICT 5000 ADDENDUM TO THE FOUNDATION MOU Club Qualification for District Grants § Extends Foundation MOU requirements to District Grants § Adopts the District 5000 Financial Management Plan § Simplifies Bank Account Requirements—One Club District Grant Account—Global Grants require account for each Grant.
THE DISTRICT 5000 FINANCIAL PLAN District Grant Bank Account: § To support District Grant projects, the Club will maintain a dedicated bank account (“District Grants Account”). § Any District Grants funds received will be immediately deposited into the District Grants Account and disbursed only to fund approved District Grants. § For District Grant projects in which the Club is contributing cash to the project, the Club will transfer the contributed cash to the District Grant account and subsequently pay project-related expenses from the District Grants account.

THE DISTRICT 5000 FINANCIAL PLAN—Document Retention § Establish & maintain recordkeeping system to preserve important documents - both physically & electronically § Documents must include: § Bank information, statements, canceled checks, check register § Copy of signed Club MOU, MOU Addendum, and Financial Management Plan § District and Global Grant Applications and Final Reports with invoices, receipts, and canceled checks § Electronic Inventory of physical assets § Documents must be kept for 7 years or longer
THE DISTRICT 5000 FINANCIAL PLAN—Document Retention • Audits • A minimum of 15% of club district grants for the previous year will be audited by September 1 of the current year. • All Global Grants in which D 5000 or one of its clubs is the host partner will be audited. • Failure to respond to auditors will result in loss of grant privileges for current year.

SCHOLARSHIPS DEADLINE • 30 June deadline for scholars beginning their studies in August, September or October • 90 days in advance for everyone else
CONSTRUCTING LOW COST SHELTERS AND SIMPLE SCHOOLS • Three year pilot began 1 January • Clubs and districts may use global grants to build low-cost shelters and simple schools • Construction must be a part of a comprehensive project related to an area of focus • Guidelines and application appendixes available on My Rotary
