MEANING • A report is an organized statement of facts relating to a particular

MEANING • A report is an organized statement of facts relating to a particular subject prepared by reporter(s) after making an independent enquiry, with or without recommendations. Reports are a very useful instrument that help in the organization of business.

TECHNIQUES OF WRITING REPORTS • There are no specific rules for drafting a report.

TECHNIQUES OF WRITING REPORTS • There are no specific rules for drafting a report. However, there a few general hints which help in writing a report. • First of all the writer of a report should collect the material for his report. This may involve referring to office records, interviewing people and visiting different places. Collection of material or data is the most important part of report writing. • Data collected must then be arranged in a logical order. • The report should have a suitable heading and an introduction explaining its purpose and nature. • Language should be simple and clear. • The report should state nothing but the facts.

SAMPLE OF A REPORT Convenor, Canteen Enquiry Committee ABC College, Kurali March 10, 2018 The Principal ABC College, Kurali Subject: Report on working of college canteen Sir, The committee appointed by you to look into the complaints lodged by students and faculty members has conducted a detailed survey of the whole matter. Findings: 1. The quality of eatables served is far below the standards prescribed by the college. 2. No care is taken to keep the canteen clean and crumbs of eaten stuff, spots of tea and coffee on the tables were found during all the visits. 3. Workers are shabbily dressed. (contd. in next slide)

Report 4. The manager when asked gave evasive answers. He complained that he could not abide by all the conditions in the contract because the income from the canteen was not satisfactory. Recommendations: 1. The agreement with the present contractor be terminated but as it is a legal contract, it is advisable to follow the proper legal procedure before terminating his contract. This involves: a. Issuing the contractor a show-cause notice about the malfunctioning of the canteen. b. Appointing another committee on the basis of his reply to the show-cause notice with the power to recommend the continuation or termination of the contract, and c. Then, finally terminating the contract. 2. The college should itself run the canteen through a joint committee of teachers and students.
