Proxy Access Online Ordering for EMIS Web User Guide for setting up online ordering
First steps…. Go to www. patientaccess. com and start the set up with the online user account. This makes sure that the email address associated it not already being used and saves a lot of time further down the line. If the email address is not being used already it will allow you create an account. If the email is already associated with an account you will get this message appear:
Next…. . If the email address is not already associated with an account, then go ahead and create an account at this point and make a note of the password that you have created for the online user. If the email address is already associated with an account, then you have a few options. Use an alternative email address, create a brand new email address specifically for online ordering or have the account deleted. To delete the account, contact support on the home page. Click on support centre, which takes you to a new screen. Fill in the contact form. An email is then sent to the email address with a link for deletion – Please note that this link only lasts for 24 hours, if it is not clicked in 24 hours the process needs to be redone and a new link sent.
EMIS web GP set up Once you have created the log in for patient access, click ‘skip for now’ to link the practice at a later date and then start the set up on EMIS Web. Start by finding your first resident via the search. Select the patient and then click on proxy in the top right corner. This then shows you who is set up as an online user for the patient. At this point click add online user. Then add proxy user. At this point it allows you to search for a proxy user. If the user is new, it is at this point you create a new online account, but clicking on the red writing at the bottom.
Creating EMIS online user It will take you through a four step process of details, ID verification, access and legal basis – the 4 in the top left hand corner of the screen. The ID verification can be personal vouching or the written document filled in by the care home. Either is acceptable, it just depends on the practice as to which they would like. At the access section you set up the ‘carer as the relationship to the patient. ONLY SELECT MEDICATION ORDERING. Add the legal basis – which can be verbal or written consent. If it is written then you will upload the document at this point for evidence. It makes life easier if this has been scanned onto the desktop beforehand.
Next…. . Once the 4 green ticks are shown in the top left hand corner, you are all set. Click OK and it takes you to the registration of the user. At this point I have found the best option is to ‘print to PDF’ and save on your desktop. It makes like easier later when linking on patient access. The online user now shows on the proxy access. Search for the next resident to add proxy access and this time the online user can be found via searching. Highlight the user and link. You have to complete the four steps again to get the 4 green ticks. Repeat until all residents have been linked and given proxy access.
PIN for online user…. The next step is to link the online user account in EMIS to the account set up in patient access. This is where we need the linkage key and account ID we saved to PDF earlier. If it did not save, or ever need to find it again, you can find it in online users, find online user. Select the person and then print pin at the top of the screen. You can also edit the user at this section if details are incorrect or need updating. Open up the PDF that you have ‘printed’ to, as this makes life easier for copying and pasting into the patient access website.
Linking to patient access… Now log back into patient access with your email address and password. On the left hand of the screen is the option to ‘link your GP practice’ Search for your GP practice and select from the list. Select ‘yes’ that you have received a registration letter. Link to practice copying and pasting the linkage key and account ID from the registration letter you saved to PDF. Enter all your details and then enter your password again to link. NOTE: These details must be exact to how they appear on the EMIS registration – even down to lower and upper case letters – otherwise it will not link!
Link to multiple surgeries It is possible to add more than one GP surgery to your patient access account. (If they are all EMIS) Just click again on the ‘Link to practice’ on the how screen and add another linkage key and account ID code from a 2 nd or 3 rd practice, as we have already done on the EMIS registration. NOTE: The registration details should match exactly otherwise it won’t link. The best way to do this is to make sure the registration details in all of the EMIS systems match exactly. If they don’t you can edit them and then reprint a new PIN. Another way is to change the details at the pint of ‘linkage’ to the new practice, to exactly match how they are written at that particular practice. You can now see all your linked residents from all practices. You are now able to order repeat medications for each of them.
Useful Information • Once the medication order has been placed via patient access, the home can print off a summary to use for checking in the new cycle • There is a box for special requests if the item is not on the repeat list • The home can log back in after a few days to see if the order has gone through, also to see if any requests have been processed • One patient access account could be used for all staff at the home, but for a robust audit of who has ordered it is preferable to give a different log in to a few members of staff who continually order. Then you are able to see who has actually placed the order request in EMIS. • Ordering via patient access is easy to navigate. A guide could be created for the care home staff, but it is very user friendly. There would be a benefit to them knowing they can print off their order for the checking in process and they can log back in to track what has been processed. • You cannot link different GP systems. For example, they all need to be EMIS, not some EMIS and some Systm. One • If the accounts won’t link between EMIS and patient access there a few things that you can try. • • • Make sure the details in the EMIS registration and patient access match EXACTLY Try changing the details in patient access slightly to match those in EMIS Try editing the details in EMIS. On EMIS in online users there is an option to reset. This sometimes works. If all the above fails, you may need to start again with the registration of the user on EMIS , to create a new account and PIN.
