Proposed Roles & Responsibilities Steering Committee The Steering Committee (or Project Board) is the project’s decision making body which supports the executive sponsor in making decisions, setting the project's direction and allocating resources. It is responsible and accountable to corporate or programme management for the overall direction and management of the project. The Committee represents those who will use the final products (senior users) as well as those designing, developing, and implementing the project’s products (senior suppliers). The Steering Committee is accountable for providing the resources and business requirements and for ensuring that the project remains on course to deliver products of the required quality. The Steering Committee approves all major plans and authorises any major deviation from agreed baselines. It ensures that required resources are committed and arbitrates on any conflicts within the project. The Steering Committee consists of Senior Users, Senior Suppliers and the Executive Sponsor. The Project Manager reports to the Steering Committee. The responsibilities of each role are summarised below. Executive Sponsor - NAME Ø Ultimately accountable for the project, supported by the members of the Steering Committee. Ø Balances the demands of the business, users and suppliers. Ø Ensures that the project is focused throughout its life cycle on achieving its objectives. Ø Ensures that the project delivers a product which will achieve the stated benefits and gives value for money. Ø Owns the business case and is the head of the Steering Committee. Senior User - NAME Ø Represents the interests of those specifying, implementing, regulating and using the project’s products. Ø Accountable for sign-off of requirements, user testing and training, business process integration and user documentation. Ø Promotes and maintains focus on the desired product outcomes and monitors any risks in relation to the assigned responsibilities. Ø Signs off user requirements, acceptance criteria, and user testing and approves the developed products into the line. Ø Ensures that resources required for the above mentioned activities are made available. Senior Supplier - NAME Ø Represents the interests of those who are specifying, developing, testing and implementing the project’s products. Ø Accountable for the quality of products delivered to the users, including design, development, test and implementation standards. Ø Promotes and maintains focus on the desired outcomes and monitors risks in relation to the technology aspects of the project. Ø Ensures that quality control procedures are used and that any operating standards defined for the project are met. Ø Responsible for ensuring that required resources are made available for developing the product.
Proposed Roles & Responsibilities Project Manager - NAME Ø Responsible for overall monitoring and control of the project and for managing the dependencies between the various streams. Ø Provides overall guidance, direction, motivation and focus to the team and its workstreams. Ø Runs the project on a day to day basis and liaises with the steering committee for executive decision making. Ø Manages and monitors project costs, governance, risks and issues, changes to scope and quality. Ø Writes the project initiation document and tracks the project plan. Ø Reports progress to stakeholders and organises the monthly steering committee meetings. Ø Ensures that risks, issues and changes to scope, quality, cost or schedule and monitored and escalated where necessary. Ø Ensures that products are produced to the required standard of quality and within the specified constraints of time and cost. Ø Tracks that business benefits are realised according to stated objectives. Business Analyst - NAME Ø Responsible for co-ordinating, analysing and documenting business requirements. Ø Documents use cases and maintains the requirements traceability matrix. Ø Manages changes to requirements and requests sign-off of requirements from senior users. Ø Assists in the review of the system design and system flows. Ø Reviews test plans and test scripts and monitors the QA function. Ø Works with the users to plan, co-ordinate and execute UAT. Ø Assists in the planning and execution of user training and line roll-out. Team Manager - NAME Ø Prepares plans for the team's work in agreement with the Project Manager and in accordance with the overall project plan. Ø Manages the team and directs, motivates, plans and monitors the team's work and the quality of their work. Ø Identifies and advises the Project Manager of any risks and issues associated with the team’s work, and recommends corrective action to mitigate and address these items.

Proposed Roles & responsibilities Technical Lead - NAME Ø Responsible for ensuring that the technical solution meets all functional and non-functional requirements. Ø Ensures that all technical design standards are followed and that the solution is technically sound, maintainable and scalable. Ø Manages and coordinates the technical delivery and takes responsible technical risks and technical quality. Ø Ensures that the technical solution and technology choices are adequately documented in the technical design document. Ø Estimates and plans technical tasks, tracks progress and directs and motivates technical team members. Ø Ensures that all developed products are quality checked at a technical level, including peer reviews and unit testing. Ø Determines optimal development tools and methodology. Ø Works with the release team to ensure that appropriate configuration and release management procedures are in place. Ø Ensures that any risks and issues relating to the technical solution are mitigated and resolved efficiently and accurately. Ø Provides input into the non-functional requirements. Test Manager - NAME Ø Responsible for shaping and validating the overall test strategy, including integration, regression and performance testing. Ø Provides overall direction to the test team and coordinates the testing process during the project. Ø Ensures that test scope, test scripts, test approach and estimates are accurately documented and planned for within the project. Ø Ensures that the firm's test methodology and best testing practices are being adhered to. Ø Coordinates the preparation and maintenance of test environments. Ø Manages test cycles and ensures that appropriate defect tracking tools are in place and being used. Ø Ensures that any risks and issues relating to testing and QA are effectively resolved / mitigated / escalated. Project Support - NAME Ø Supports the Project Manager with administering, planning, tracking and coordinating the project. Ø Ensures correct and efficient use of project standards. Ø Provides expertise in project planning and control software. Ø Assists with tracking of project financials and maintains the document repository. Ø Assists with coordination of team meetings, weekly reporting and writing minutes from key meetings.
