Records are written statements on observations, activities and transactions which take place in a business enterprise.
The Importance of Record Keeping Record keeping is a very important aspect of management because it provides information which the farmer can use in making decisions on his farm.
Importance of Record keeping helps the farmer in the following ways: -It provides useful information for farm planning and budgeting. - It enables the farmer to assess the viability of certain specific farm enterprises or of his farm as a whole. - It enables the farmer to pinpoint areas of weaknesses in the farm business which require attention.
Importance of Record keeping It enables him to implement remedial measures of control. - It helps the farmer to achieve effective managerial control during production. -
Types of Records Used in a Nursery Operation. A farmer should keep several different types of records, the specific type of records kept depends on the nature of the enterprise; § A vegetable farmer keeps records of his vegetable farm § A nursery manager keeps records of his nursery plants. § A Livestock farmer keeps records of his farm animals
Common Records Kept Some common records which are kept by different types of farms: - Inventory records - Financial records - Production records - Labour records
Inventory Records An inventory record contains information about the type and amount of stock an entity possesses. This includes inventory on hand, inventory that is on order, and inventory that is on hold for work-inprogress. It is also known as a stock record. . An overall inventory record contains data about all items in stock.
Financial Records Financial record is the formal documents, which represents the transactions of a business, an individual or any other organization. Financial record is being maintained by companies including income statement, balance sheet, cash flow statement, statement of retained earnings, and tax returns
Production Records Production records are used to document everything that is produced on the farm or in the plant nursery business. These records are prepared every week. And then summed up at the end of the month and also at the end of the year. Thus, there is a weekly record, a monthly record, and an annual record of everything produced/grown.
Production Records Types of production records may include; 1. Seed starting charts – Used to track seed germination rates 2. Planting charts – Used for transplanting, direct seeding, to record bloom of fruit date etc. 3. Harvesting chart – used to document the quality and quantity of fruit.
Production Records 4. Plant Management – Used to identify and record pest threats and to determine which management techniques are most effective. 5. Irrigation – Used to log information about the amount of water a plot or a particular species of plant receives and method used to irrigate.
Labour Records A labour-time record is the source document used by managers to keep track of direct manufacturing labour. In other words, managers write down the amount of time spent per employee on given tasks.
Practical activities Visit a nearby plant nursery and take an inventory of the tools and equipment used in the nursery.
