Welcome n n n Writing Assistance has implemented a new fast and easy way to submit your time each week via the internet. There are no changes to the pay weeks or pay periods, just simply the entry and submission of your time. The next few slides will walk you through the process for entering and submitting your time each week. 2

Entering Hours & Tasks (see slide 6) Main Screen is current calendar month at a glance n If time has been submitted in the current month, the total hours will appear on that date. n The status of the timecards (submitted, not submitted, rejected or approved) will appear in the right hand column n 4
Entering / Modifying Hours Choose the option from the left hand column to enter or modify time in the week. n The timecard and entry screen will appear. n (see slide 6) (see slide 7) 5

Column 5 Column 4 Column 3 Column 2 Column 1 - Do not ever check the box Column 1: Submit Default is unchecked; If unchecked, time remains hidden from project manager/approver and modifications can be made to the timecard. If checked, an email is sent to the approver. Timecard will be read-only after approval. Timecards should only be “SUBMITTED” the last day of each work week. (Save without Submitting if done daily) Column 2: Project/Type Dropdown list; Current assigned projects are available from dropdown list. Column 3: Task; Use only if set up by Writing Assistance Column 4: Days of Week: Enter time for the day or portion of the day with a description of the work. Column 5: Status: Shows if the row is approved, who approved it, shows if it has been processed and who processed it. If it is blank, it has not been submitted yet. Submit all last day of work week 7
Note that you can add more lines if needed by hitting . save and continue 2 New Lines Add Save & Cont. 8
Simple functions: (see slide 10) Quickly jump to any week with the calendar or choose previous week/next week to navigate. n “View Timecard” allows a printable view. n “Copy Template from previous week” from functions to reuse project and hours when nothing has changed. n 9

Submitting the Time Sheet (see slide 12) n n Once entry is complete for the ENTIRE WEEK, mark the submit checkbox in the left column or “Submit All Time” to automatically send email to the Project Manager/Approver and to Writing Assistance for approval. After saving, you will return to the calendar at a glance. 11

Project Manager Function n Your assigned Project Manager is the approver and will log on and either approve your time or reject your time. If it is approved, it will be forwarded to Writing Assistance, if it is rejected, it will be returned to you via email. 13
Reports & Password (see slide 15) Historical timecards are available from the reports menu. n Admin allows you to change your password and is recommended. n 14
