OBJECTIVE OF THIS INITIATIVE BVC Group of Companies has incorporated a new initiative named the Buddy System in the 2018 and the core purpose of starting this is to ensure we provide new employees with a reliable, motivated, single point-of-contact for their basic questions regarding their work experience and day-to-day functions/departments.
SO WHY “BUDDY” – AND WHAT DOES IT MEAN? Because it means a Friend / a Pal / a Companion / a Partner who is always available to help you with answers which aren’t a part of Interview and Induction ��
BUDDY SYSTEM IN A NUTSHELL: The Buddy System / or a professional associate would be assigned to every new Joinee for the first 2 - 3 weeks from their joining. The buddy is an existing employee who guides the new employee through the first few weeks on the job. This will help welcome new employees and reaffirms their decision to stay along in the organization for a longer period.
PURPOSE OF HAVING BUDDY SYSTEM AT BVC / VAMASHIP? • At the end of their first day and in subsequent weeks, you want new employees to confirm internally that they made the right decision to accept the position. • What happens during the first few days will determine the new hire's long-term perception of the job and the organization. • This early enthusiasm can be either boosted or ruined, depending on a first impression. • Providing a workplace buddy ensures that your new employee has someone to talk to, which is important in the first nerve-wracking weeks of a new job. • Your new employee will understand workplace systems and processes and culture better, resulting in a quicker settling in period—and ensure they are productive sooner.
WHO CAN BE A BUDDY: • Has a willingness and ability to mentor others; • Has demonstrated strong past performance; • Has the time to be accessible to the new employee; • Is skilled in/has knowledge of the new employee's job; • Has knowledge on company’s department & Products; • Has excellent communications and interpersonal skills; • Is well regarded and accepted by current employees. • Has no records of spreading negativity /
QUICK PRE-EMPLOYMENT CHECKS: (MORE FROM HR’S PROSPECT) • The Workplace and his seating arrangements is already assigned. We do not want him wandering around for seats. • Welcome kit ready on the desk – preferably hand delivered. • Basic office supplies / stationary • Send welcome note (door sign, welcome kit on desk would be super cool) • Laptop / Phone / Email
ROLE OF A BUDDY! PLAN - WEEK ONE: • Meet and greet new employee on day one in office (after Induction). • Walk around and tour key areas of the facility and campus. • Assist with extensions / and important numbers. • Show work space/desk. • Show Punch-in / Punch • out machine – share details. • Order lunch for new staff member on day one. • Introduce new staff member during the departmental tour, at meetings, breaks, lunch, etc. • Give a peppy brief on every employee and what he does here, in short!
WEEK 2 PLAN: • Introduce them to Slack / Trello / Google Sheets. • Explain use of refrigerator, oven, microwave, dishwasher, break area, etc. • Review fire alarm and evacuation procedure. (Yes, that is equally important) • Let’s create a handbook! We could prepare a department orientation handbook and encourage new staff member to read entire handbook. • Review all office equipment (photocopier, fax machines, etc. ) and ordering of supplies • Provide a list of acronyms typically used in your department such as OKR / QBR / etc. • Have tea breaks on casual conversations such as “how it’s going, ” etc. • Explain current organization structures / hierarchies / different department and offices across India. • Let them know of all the fun events they have experienced like party’s / trips / outings / initiatives, etc. • Give them an insight on what BVC has achieved so far, our awards, scope of work, reach, our award winners, etc. • Brief on services of BVC / Vamaship.
