Course Objectives At the end of this training, a Commissioner will be able to: • Be Aware of the BSA Social Media Guidelines, as it pertains to Virtual Meetings for Scouts. • Be able to apply two deep Adult Leadership to Online Meetings with Scouts • Know what resources are available to Commissioners to help Scout Units that are using Virtual Meetings. • Discuss some Virtual Meeting Platforms Possibilities
Course Objectives What this Course is NOT: As stated in the BSA Social Media Guidelines, this course is not intended to provide a step-by-step “how to” on creating and using the specific features of social media channels.
Scouts BSA Social Media Guidelines • Can my unit/patrol/den conduct virtual meetings? YES!! • It is important that both leaders and Scouts are familiar with the BSA’s Social Media Guidelines and Scouting’s Youth Protection Guidelines and Barriers to Abuse, YES! • A great first program to look at might be the BSA’s Cyber Chip Program
Social Media and Youth Protection • Communication Channels must be Public (Parents are included) • Although using social media is not a Scouting activity, their use to connect scouts for scout activities requires forethought, care and responsibility
Social Media and Youth Protection • Digital Privacy • A key ingredient for a safe and healthy Scouting experience is the respect for privacy and this applies to Virtual Meetings • Online Meetings require two deep leadership (YPT rules apply).
Social Media and Youth Protection • To address cyber-safety education, the BSA has introduced the age- and gradespecific Cyber Chip program, which addresses topics including cyberbullying, cell-phone use, texting, blogging, gaming, and identity theft. Check it out.
Cyber Chip Program • Cyber Chip Requirements • Grades 1 -3 • Grades 4 -5 • Grades 6 -8 • Grades 9 -12 • Recharging Your Cyber Chip • Note: All Cyber Chips will expire annually. Each Scout will need to go to Netsmartz and complete two new resources to recommit to net safety and netiquette. Then, with the unit leader, the Scout can add the new date to the Cyber Chip card or certificate. • Available From Scout. Shop. org
Social Media and Youth Protection Follow all youth protection policies. All youth protection policies still apply in an online environment. Ensure you always have two-deep leadership for online activities and meetings. The BSA suggests parents take part in online activities and meetings.
Which Platform to Use? Use business-oriented conference platforms that include good safety and privacy features instead of platforms with other primary purposes (such as gaming).
Which Platform to Use? GENERAL INFORMATION Review the terms of service, safety and privacy features, and data collection policies of any platform you use, and review the BSA Digital Privacy and Social Media Guidelines.
Know your Platform Security Features Regularly review and implement the latest security features of your chosen platform to avoid unauthorized visitors (i. e. avoiding the Zoom Bombing) Tips: Use unique meeting identification numbers for each session. Utilize password features for all meetings. Do not publish meeting invitations via public forums and remind attendees not to pass along invitations.
Know your Platform Security Features Tips Continued: Use “waiting room” features to manage letting individuals into your meetings. Disable features that you will not need, such as screen-sharing by non-hosts, private chats, and whiteboards. Do not record online activities/meetings that include youth participants.
Digital Safety and Online Scouting • Selecting a Meeting Platform • You need to select the right platform to conduct your virtual meeting. • You want one that allows you to meet at no cost and is the best system that works for you, your scouts and the type of meeting.
Digital Safety and Online Scouting • Selecting a Meeting Platform Continued: • Zoom is free, with security safeguards, but is not the only choice. You should use one that is scout friendly and accessible to all the scouts in your unit.
Zoom (Free version) • Zoom Platform can have the ability to have up to 100 people in a meeting • 40 -minute limit on group meetings • Unlimited number of meetings • Screensharing capability • Options for both conference call and video chat • Breakout rooms for small groups
Other Online Platforms • Facebook: requires that users be at least 13 years of age. • Twitter: Has a 140 character-post limit. • You Tube: All videos/images should adhere to recommended YPT policies. • Webex (Free): Ability to have up to 100 people in a meeting

Safeguarding Personal Information • Safeguard personal information: • If you collect a person’s personal information online—for example, through web forms used to register people for online meetings—then you should post a notice or disclosure at the point of collection describing how you will use the information. The notice should be conspicuous and written in plain English.
Safeguarding Personal Information • Meeting organizers must keep such information private and not share a youth’s personal information with anyone except that youth’s parent or guardian or the unit leader responsible for tracking advancements. • For example, a merit badge counselor should not post in public or otherwise show a roster with personal information of Scouts the counselor has worked with.
