My Portal Requisitions
Introduction Web. Smart’s My Portal can now include internal users the access to create requisitions without having to provide additional authorization roles to grant them access to the Finance module.
Account Code Categories & Setup • The district’s administration will have to decide what account codes employees will be authorized to view and use when creating a requisition within their My Portal • Account Code Categories are setup at an administrative level per campus, under the Admin module > Facilities > Physical Facilities. • Requisitions created via My Portal follow the same approval processes as requisitions created through the Finance module and when approved by all required parties it will generate a PO.
Creating a Requisition thru My Portal 1. Navigate to My Portal, under the application list, in the upper-right hand corner of the screen. 2. Click Employee Portal Access 3. Select the Requisition tab 4. Click on Create New Requisition
New Requisition All fields are completed as with a requisition in the Finance module. The ONLY difference is the Requestor will default to the employee and CAN NOT be altered.
Approving Requisitions Submitted via My Portal Approvers Queue Finance > Payables > Approval Queue • Requisitions created via My Portal will be approved in the same manner as requisitions created through the Finance module. • Automation emails will be sent out to approvers, informing them of a requisition pending, waiting to be reviewed and approved. • Requisitions created via My Portal will generate into a PO after all required parties have approved the requisition.
Approving Requisitions Submitted via My Portal Requisitions My Portal > Employee Portal > Requisitions • Filter defaults to Unsubmitted, indicating the requisition is currently in employee’s queue and approver will not see until status has changed to submitted. • Filtered to Under Review, lists requisitions sitting in an approvers to queue to be reviewed and approved. • Filtered to Rejected, lists requisitions that have been reviewed and rejected by an approver. Employees can identify the reason for rejection by either opening the requisition and reading the comment or click on the print icon and see the comment in the pdf print out. • Employees will continue to receive automated emails, as per the change in status of their requisition. The automated emails have been updated to include the following verbiage for rejected requisitions: “To view the comments on your rejected requisition, click on the print icon of your requisition. ”
