Migrant Training PEIMS and Coding Fall Presented by
Migrant Training PEIMS and Coding Fall Presented by: Sergio A. Saenz PEIMS Data Analytics Specialist
Introduction l This presentation is intended to provide knowledge and expertise on the coding and timelines that affect the Migrant department.
Training Outline l Lesson 1: Migrant Code l l Lesson 2: State Reporting PEIMS l l Where can we find the description and definition to all the codes? When is the data collected and how and what is collected? Lesson 3: Verification Process l How does the migrant data affect a district?
Lesson 1: Objectives l l The Migrant Department will become proficient in the search for resources from TEA (TWEDS). The learner will become familiar with the navigation of the TWEDS tool and submission timeline.
Lesson 1: TWEDS l l TWEDS Demo and Timeline Website for TEA TWEDS https: //www. texasstudentdatasystem. org/TSDS/T EDS/TEDS_Latest_Release
NAVIGATION to Migrant Indicator Click on TWEDS link l Step by step 1. Data Components> Categories>List of Categories>Student Extension Interchange>Data Elements Reporting Requirements l
Lesson 1: Wrap-up l l l How to access the TEA resources though TWEDS. Basic navigation of the TWEDS tool. Impacts of Migrant indicator on the Fall 1 submission and Summer submission 3.
Lesson 2: State Reporting PEIMS When is the data collected? How and what is collected? l l The Migrant department will understand what student data is collected by the state for the Migrant student population. The Migrant department will gain a thorough understanding of PEIMS codes.
Migrant Indicator Code For PEIMS Submission 1: The MIGRANT-INDICATOR-CODE is reported as MIGRANT-INDICATOR-CODE 1 for a migrant student who has a current Certificate of Eligibility (COE) on file at the district or regional education service center completed and signed by an individual trained by the Texas Migrant Education Program (MEP) as of the last Friday in October (Fall Snapshot). • Includes ADA = 0 (enrolled, not in membership) EE kids A Bright Beginning Prog • Students should be coded on your SIS as of when Migrant Status is confirmed. • If SIS uses dates, then ensure the date is on or before Snapshot so it can be part of the data that is extracted for PEIMS.
Leavers LEAVER-REASON-CODE (E 1001) indicates the reason a prior year student in grade 7 -12 student has not enrolled in the district during the current school year. A LEAVER-REASON-CODE is not required for students in grades 7 -12 who were enrolled during the prior year and are enrolled in the school-start window of the current year. Students in grades EE-6 in the prior school year are never reported with a LEAVER-REASON-CODE. PROCESS 1. Districts begin to look for the students that have not enrolled. They have until the last Friday in September to find and enroll the students. 2. The students that did not enroll in their own or another Texas district are assigned a Leaver Reason Code. TWEDS 3. Data is extracted by PEIMS Coordinator from SIS and sent to TEA by Decembermid January.
As of Status Codes AS-OF-STATUS-CODE (E 1002) indicates the student's current status in the LEA on the Submission 1 and 3 as-of dates. For Submission 1: AS-OF-STATUS-CODE is required and indicates a student’s school-start window and PEIMS Fall snapshot (as -of) date enrollment status for the current year. For Submission 1, report codes A-G and X only. Do not report grade EE-06 and first-time 7 th graders that were not enrolled in the LEA on the PEIMS Fall snapshot (asof) date.
Scenario Student A leaves to work in Idaho in March before SY ends. The following school year enrolls in November in his or her home campus. Student B finishes the year and leaves to work in Florida. The student returns to his or her campus in February. Both students will be reported as Leavers. Nevertheless, student A will not affect your Accountability Rating if the correct “as of status code” is sent to TEA when districts report their PEIMS data.
Lesson 2: Wrap-up • • • a. We examined the Migrant Code. b. Defined leaver and examined the process. c. We learned how miscoding can affecta district’s accountability ratings.
Lesson 3: Objectives • The Migrant department will become proficient in verifying Migrant Information in SIS and in PEIMS. • The Migrant department will familiarize themselves with Leaver Verification.
Lesson 3: Migrant Coding • Run a report from your SIS that reflects snapshot counts to make sure you’re not Underreporting/Overreporting Migrants. • Reconcile the counts submitted through PEIMS with other Migrant systems. • Ex: TSDS PEIMS Reports • PDM 1 -120 -012 Student Indicator Report by Grade • PDM 1 -124 -002 Dropout Roster • PDM 1 -120 -009 Disaggregation of PEIMS Student Data. All Populations
Example Report
Notes on Leaver Process
Lesson 3 Summary • We learned how to verify Migrant Information in SIS and in PEIMS. • We familiarized ourselves with leaver verification process.
