Meditech e-Prescribing Electronic Prescribing of Non-Controlled and Controlled Prescriptions January 2020 – Joy Aloan, RN
First Steps: • At our Meditech facilities, we use Dr. First and Surescripts as our e-prescribing partners. • In Order to e-prescribe, you will be set up with a Dr. First user account for any of the facilities you will be prescribing non-controlled (e. RX) and controlled (EPCS) prescriptions from. • For EPCS On-Boarding, you will complete the Identity Proofing process with the Credentialing Department in person by providing your driver’s license or passport with a picture ID as proof of your identity. • You will need to download the VIP Access App (soft token) to your cellphone or obtain a pob (hard token) and provide the Credential ID or Serial ID numbers to the staff. • Once the required information is uploaded to In. Fin. ID as part of the On-Boarding process, you will receive an invitation email with a link to register your token(s) for EACH Dr. First user account. • During the process you will be able to create a signing passphrase (password) and security question/answer for e-Prescribing. • Then you will complete the last step of the EPCS On-Boarding process with a hospital representative (COA) to authenticate your token(s) in order to sign and authenticate the controlled substance prescriptions you order for your patient.
Tips: 1. The patient’s Preferred Pharmacy is entered during the registration process but can be ENTERED, EDITED, REMOVED or REVIEWED from the Pharmacy Search screen. 2. The selected pharmacy must be listed as e. RX: Y and EPCS: Y enabled (indicated with a Y on the screen) or prescriptions will NOT transmit. 3. The prescriptions for a patient with a registered home address outside of the USA will NOT transmit. 4. When completing the sig, use the QUANTITY and NOT the DAYS field or the prescription will NOT transmit.
To Search for RETAIL vs. MAIL-ORDER Pharmacy Options: You can search for retail and mail-order pharmacies available in the “PHARMACY SEARCH” option which searches our local, more commonly used pharmacies. NOTE: The Meditech SEARCH screen defaults to RETAIL Pharmacy searches. To search for MAIL-ORDER pharmacy options, unclick the RETAIL tab and click on the MAIL ORDER tab. To REMOVE the patient’s preferred pharmacy on file, click on the REMOVE tab.
To Search for a Pharmacy: Using the “PHARMACY SEARCH” screen, type in the pharmacy in the NAME field. You do NOT need to enter information in all of these fields. In fact, “less is best” when entering search criteria. If you know the CITY or ZIPCODE, use only these options to complete the search and then click on SEARCH. Click in the box to the left of the correct pharmacy option that displays in the search results box. NOTE: This pharmacy is e. RX and EPCS enabled for e-prescribing. Click DONE to file this option as the patient’s preferred pharmacy.
If you cannot find the pharmacy in the previous Pharmacy Search screen option (for example: an out of state pharmacy location), you can click on the NEW PHARMACY button which allows for additional pharmacy search options using the Surescripts “GLOBAL PHARMACY SEARCH” dictionary.
Using the same minimal search criteria on the “GLOBAL PHARMACY SEARCH” screen, click on SEARCH. Select the appropriate pharmacy option. Then click FILE to save this option as the patient’s preferred pharmacy. NOTE: When you select the pharmacy you can review the specific pharmacy information on the bottom of the screen to confirm you have selected the correct pharmacy location and that the pharmacy is set up for e. RX and EPCS transmissions.
Adding a Secondary Pharmacy: From the Session Summary Screen, a secondary pharmacy can be added if the patient prefers that a certain script is electronically transmitted to another pharmacy instead of the preferred pharmacy listed in their chart. Leave the PREFERRED PHARMACY listed as is on the screen. To add a different pharmacy for a certain prescription, click in the PHARMACY cell on the specific medication line and select a SECONDARY PHARMACY using the same search process. Then click OK.
How to Sign Off Prescription Orders in Meditech: Prescription orders will be entered in Meditech using the DISCHARGE-MEDICATIONS functionality for Inpatients or the DEPART PRESCRIPTIONS functionality for Emergency Department Patients. (This process will be reviewed in the Meditech Multidisciplinary Discharge Process Training Module. ) The prescriber will sign off non-controlled prescriptions in Meditech using their Meditech Password. If you have entered controlled prescription orders in Meditech, after signing off the orders in Meditech with your Meditech Password, you will then be launched out to the EPCS Gold Controlled Substance Prescription Signing Screen where you will use a two-factor authentication to legally sign and authorize the electronic transmission of information to the selected pharmacy for dispensing. You will need your EPCS Gold Signing Passphrase and an OTP (one time pin) from your registered EPCS Token Device in order to complete the two-factor authentication. The EPCS Gold Controlled Substance Prescription Signing Screen is displayed below : The prescriber’s information is displayed here. The patient’s demographic information is displayed here. Step 2. Choose your EPCS Token Device from the list using the down arrow if you have more than 1 registered device. The pending controlled substance prescription detail and pharmacy information is displayed here. Step 3. Enter your Signing Passphrase (case sensitive). 1 Step 1. Click in box to the left of each pending prescription to place a check mark in the box(s). 2 3 4 5 NOTE: Click on the icon if you need additional information. Step 4. Enter the 6 -digit PIN from your selected OTP Token which refreshes every 30 seconds. Step 5. Click Sign and Send to complete the process.
The EPCS Gold Prescription Statuses Screen will display with a summary of the signed and transmitted controlled substance prescriptions once you have completed the two-factor authentication process for each controlled substance prescription. At this point, you are finished with the controlled substance prescription(s), and can exit out of these internet screens to get back into Meditech to continue documentation on your patient.
