Introduction v Responsible for delivering all aspects of Healthcare to the population of the Highlands. v Area covered equates to 43% of the landmass of Scotland, but only has a population of 300, 000 (5%). v Very challenging geography, all inner isles, lots of small remote rural facilities. Also large 500 bed acute Hospital with full range of services. v We have over 230 facilities to maintain, 27 of those are Hospitals.

Our Goals/Buisiness Requirements v System hardware to be renewed and provide operational resilience. v Deploy a system that uses “out of the box” software to avoid customisation costs and ensures that software updates can be applies easily at minimal cost. v System to provide electronic despatch and recording of work requests that optimises scheduling of work within the challenging geography of Highlands while maximising workforce efficiency. v Clear support arrangements to be in place with clearly defined roles and responsibilities.
Why Upgrade? v With Mobile engineers covering over 70% of our workload we wanted to utilise a Mobile solution that could be used in remote area’s (offline) with a need to enhance the app to meet business requirements today and in the future. v Consistent Location and Asset Hierarchies to provide output data into reports and also to align with Inventory Items v Resilience Database structure that is hosted by NHS Highland to met IT requirements v To utilise the Maximo Scheduling tools as opposed to connecting to an External tool

Implementation v We had several workshops to establish any new requirements with a view to keeping the upgrade as close to an AS-IS build as possible v Location data was restructured and Assets were built into the system v A Financial review was conducted and the GL Components were rebuilt to be aligned with e. Financials v Streamlining Inventory items to the new GL codes v Testing was in depth with the focus on real time testing with the Mobile Technicians i. e. 3 G, Wi-Fi and No connectivity v Extensive awareness and training was conducted for the Schedulers and Mobile Technicians
Challenges v NHS Swan N 3 network Connection had to be set up and used for MACS to be able to work with and support the NHS Highland v VPN had to be utilised with the Mobile solution – extra testing to be conducted for the VPN layer v Anywhere to be used with i. Pad mini’s – issues with IBM certificate with Apple almost delayed the project. v Greater level of testing with all the IT layers meant more time on the project, but in the end if was time and money well spent
Success v NHS Highland worked in partnership with MACS to overcome any challenges – one team approach v Key stakeholders were assigned with roles and responsibilities v Working within different departments within the NHS and with their contractors was seamless and all parties became available when required v Corporate sponsorship and Management engagement for this project v Communication was key and regular updates with all the Stakeholders proved successful.

Results v NHS Highland Technicians have reported that the App is very easy to use with minimal issues v Ease of using an i. Pad mini with the product and the ability to work offline is a big improvement v A smooth transition from 7. 1 to 7. 6 for the office users as training was excellent, current and local to the users roles v Key users elected and assigned roles within the system gives greater control of the key area’s of the tool v Standardised reporting and data structure has proven results in the ability to monitor workorders, financials and purchases v One of the largest European deployments of Anywhere
Lesson Learnt v A complete and thorough understanding of the end goal for all stakeholders. v All end user testing in UAT to be a true and total end to end testing – time on this element gives better go live results v Original Go Live date change was a good decision – if we had gone live and then tried to resolve issues we would not of had such a good go live experience
Roadmap Looking at utilising further Apps within the business for Inventory and Inspections Success has lead to other departments (Medical Physics) within the NHS Highland looking at Maximo to improve their processes Inventory enhancements To build on the Health & Safety aspects of Maximo Mx 7. 6 Anywhere
