Maintaining Employee Privilege Templates Step 15 Select a value to indicate whether the User Defaults list option appears on the transaction page: • Hide: If you select this option, the User Default option or link does not appear for the transaction page. • View: If you select this option, the User Default option or link appears for the transaction page.
Maintaining Employee Privilege Templates Step 16 Select a value to indicate whether the Billing Type appears on the transaction page. Options include Modify and Hide.
Maintaining Employee Privilege Templates Step 17 Select a value to indicate the employee access to the Accounting Defaults page which specifies the default accounting for expenses report and travel authorization transactions. This option is not applicable for time reports.
Maintaining Employee Privilege Templates Step 18 Select a value to indicate whether the Billing Type appears on the transaction page. Options include Modify and Hide.
Maintaining Employee Privilege Templates Step 19 The following options are available for Default Accounting: • Hide: If you select this option, the Accounting Defaults list does not appear on the transaction page. • Modify: If you select this option, the Accounting Defaults list appears on the transaction page. The employee can use the Accounting Defaults list to access the Accounting Defaults page and change all accounting fields. • View: If you select this option, the Accounting Defaults list appears on the transaction page. The employee use the Accounting Defaults list to access the Accounting Defaults page and the employee can view accounting fields. The employee cannot change accounting fields.
Maintaining Employee Privilege Templates Step 20 Select a value to indicate the employee access to all General Ledger (GL) Chart. Fields at the line level for the transaction type: • Hide: If you select this option, general ledger Chart. Fields do not appear on the Accounting Detail link, button, or collapsible area. • Modify: If you select this option, the employee can change general ledger account distribution values. • View: If you select this option, the employee can only view general ledger account distribution values.
Maintaining Employee Privilege Templates Step 21 Select a value to indicate the employee access to the Accounting Details: • Full: If you select this option, the Accounting Details collapsible area, link, or button appears on the line of the transaction page and the employee can modify all account distribution values. • Hide: If you select this option, the Accounting Details collapsible area, link, or button does not appear on the transaction page. Therefore, the employee cannot access the Accounting Details link, button, or collapsible area from the transaction page.
Maintaining Employee Privilege Templates Step 22 Select a value to indicate the employee access to the Accounting Details: • Modify: If you select this option, the Accounting Details collapsible area, link, or button appears on the line of the transaction page. The employee can change account distribution values in the Accounting Details link, button, or collapsible area depending on the values in the GL Chart. Fields and PC Chart. Fields fields. • View: If you select this option, the Accounting Details collapsible area, link, or button appears on the line of the transaction page. The employee can view account distribution values depending on the values in the GL Chart. Fields and PC Chart. Fields fields.

Maintaining Employee Privilege Templates Step 24 Select the Project Costing Chart. Fields that the employee can view or modify. These options are only available when the value in the PC Chart. Fields field is Modify or View. The PC Bus Unit, Project, Activity option is always selected and cannot be deselected. When Category is selected, Source Type is required and will automatically be selected and grayed out so it can’t be deselected. When Subcategory is selected, Category and Source Type are required and will automatically be selected and grayed out. So, this cannot be deselected.

Maintaining Employee Privilege Templates Step 26 Use the GL Chart. Fields Display page to select which GL Chart. Fields to display while the Modify or View is selected. When you set GL Chart. Fields to View or Modify, you can also set which of the GL Chartfields must be displayed in Accounting Details when an employee is creating or viewing Expense Report, Travel Authorization and Time Report.
Maintaining Employee Privilege Templates Step 27 If the Display All Chart. Fields option is not selected, the GL Chart. Fields grid become editable and you can add the displayed GL Chart. Fields one by one.
Maintaining Employee Privilege Templates Step 28 After you set up the GL Chart. Fields to display in Employee Privilege Template, you must also ensure that the employee privilege template has been linked to an expense role, and the expense role has been attached to the employee via employee profile. If an employee creates an Expense Report or Travel Authorization, or Time Report, the Chart. Fields that you set up will be displayed in the Expense Report or Travel Authorization, or Time Report as per the set up you have done in the Employee Privilege Template.
