Epic Basic Appointment Department Appointments Report • • The Department Appointments Report (DAR) DAR is the most powerful report in Epic Scheduling. This report is used primarily but not exclusively by the front desk personnel responsible for checking in, updating patient information, verification, making follow up appointments, and checking out the patient. The report is customizable. You can select, based on security access, multiple Departments, Center or Subgroups. You can also select the default so that only a specific site is brought up when you access this report. (this will be covered in later chapters). You can create and cancel appointments while on the DAR. There a large number of available options within the Menu Command Toolbar, the Toolbar, or the Activity Toolbar.

Epic Basic Appointment Department Appointments Report The DAR can be opened from the Epic Button Scheduling/ Reports/Scheduling option. The easiest way is to click once on the toolbar Dept Appts option.

Epic Basic Appointment Department Appointments Report To schedule an appointment for a patient from the DAR, select the Appts button that is located on your toolbar. Note: The top 3 segments (title bar, menu command toolbar and the toolbar) are permanent parts of your Epic screen and are always available to you.

Epic Basic Appointment Department Appointments Report After clicking on the Appts button, the Patient Lookup window appears. Search for the patient using established patient search criteria. When the correct patient is located, select them to open their appointment desk and follow the basic appointment pathways to complete the appointment.

Epic Basic Appointment Department Appointments Report To cancel an appointment from the DAR, select the patient by clicking on their appointment slot. The Cancel button is located on your activity toolbar. You can also right click on the slot to open the dropdown menu and select Cancel. Once canceled, the appointment drops off the DAR.

Epic Basic Appointment Canceling/Rescheduling Appointments The Cancel Appts screen will display the selected appointment with a check marked box. Other appointments that are on the same day or linked together will also show up allowing you to cancel more than one appointment if needed.

Epic Basic Appointment Department Appointments Report If you are canceling an appointment from the DAR, the Cancel reason of “Parent Canceled” will automatically be selected. If this is not the correct reason, click on the magnifying glass for a list of other choices.

Epic Basic Appointment Canceling/Rescheduling Appointments If you selected Cancel Appointments, the displayed Cancel Appts window will indicate the selected appointments are canceled. You can click Reschedule from this window to reschedule the appointment.

Epic Basic Appointment Canceling/Rescheduling Appointments When you elect to cancel an appointment, you will also have the choice of rescheduling the appointment before you actually cancel it. This could be helpful, if after being advised of other options, the patient/parent decides to keep the original appointment. Instead of clicking Cancel on this screen, click Reschedule.

Epic Basic Appointment Canceling/Rescheduling Appointments After clicking Reschedule, you will be taken to the Make Appointment/Reschedule window where the appointment details will be retained to prevent you from having to re-enter them. Once the new appointment is successfully rescheduled, the old appointment will be canceled. In the event no new available appointment times are suitable for the patient/parent, and they choose to keep the original appointment, simply close the Make Appointment window without rescheduling another appointment. The original appointment will still be scheduled.
