D BY COURSEWORK AND RESEARCH PHASE I: RESEARCH PROPOSAL STEP 1 For student reference • Submit ‘KIRKHS Postgraduate Thesis/Dissertation’ form to Department by Week 10 of the 1 st regular semester STEP 2 • You receive a confirmation letter on your approved supervisor from Postgraduate and Research Office, KIRKHS by end of the first regular semester • Start working on your research proposal STEP 3 • Submit the CPS-REG/1/2009(2): ‘Research Work’ form for registration of Research Proposal to CPS latest by Week 2 of a new semester (FT students: by the 2 nd semester, PT students: by the 3 rd semester) * • Check confirmation slip to ensure that Research Proposal is officially registered. STEP 4 STEP 5 • Continue working on your proposal with your supervisor. • Submit completed proposal to department. • The department will inform you whether the proposal is approved or not within 1 month. Note: 1. *Once student starts registering for research proposal, he/she must register for it every semester until he/she completes the proposal. Failure to do so may result in termination of study by Centre for Postgraduate Studies. 2. All forms are available at www. iium. edu. my/irkhs under the link of Deputy Dean (Postgraduate & Research). PHASE I: RESEARCH PROPOSAL STEP 6 For student reference • If your proposal is approved, submit ‘KIRKHS Thesis Proposal’ form with 11 copies of your proposal to Postgraduate and Research Office, KIRKHS. Your next checkpoint is STEP 9. • If your proposal requires correction, make correction and resubmit the revised proposal to the department. STEP 7 • The department will let you know whether the proposal is approved or not within 2 weeks. STEP 8 • After the revised proposal has been approved, submit ‘KIRKHS Thesis Proposal’ form with 11 copies of the revised proposal to Postgraduate and Research Office, KIRKHS • You will be called to defend your proposal in a meeting of the Kulliyyah Sub-Committee for Postgraduate Affairs. STEP 9 • Postgraduate and Research Office will contact you to inform the date, time and venue of the meeting • You will receive a letter from Postgraduate and Research Office on the status of your proposal within 5 working days after STEP 10 the meeting. STEP 11 • If your proposal is approved without correction, proceed to PHASE II: RESEARCH. • If your proposal is not approved, or approved with correction, make the corrections required by the Kulliyyah committee. PHASE I: RESEARCH PROPOSAL STEP 13 STEP 14 For student reference • Make required corrections and obtain verification from the assigned committee member. • (For minor correction, you should resubmit within 1 month and for major correction, 2 months) • • Resubmit the approved draft of the revised proposal to Postgraduate and Research Office. • The Kulliyyah Sub-Committee for Postgraduate Affairs endorses the proposal. * STEP 15 STEP 16 STEP 17 • Postgraduate and Research Office issues approval letter for your proposal within 5 working days after the sub-committee meeting. • You now proceed to PHASE II: RESEARCH. * IMPORTANT NOTICE: Full-time students must get their proposals endorsed in their 3 rd semester of study and part-time students in their 5 th semester. D BY COURSEWORK AND RESEARCH PHASE II: RESEARCH STEP 1 STEP 2 STEP 3 STEP 4 STEP 5 For student reference • Submit ‘Research Work’ form CPS-REG/1/2009(2) for registration of Dissertation to CPS in the new semester after you get your proposal endorsed. * (FT students should get their proposals approved by the 3 rd semester and PT students, by the 5 th semester) • Check confirmation slip to ascertain that Dissertation is officially registered. • Work on your dissertation - read relevant literature, collect related materials and data, make analysis and write your chapters. • Have regular contact and consultation your supervisor. • When you feel you are about 4 months away from completing the dissertation, submit the CPS-REG/11/2005 form entitled ‘Notification of Intention to Submit Research Work’ to the Department. • Submit the form at least three months before submission of dissertation. • Two months after the submission of the form, check with the Postgraduate and Research Office whether the examiners for your dissertation have been endorsed by the Senate. • Once the dissertation is completed, submit one temporary-bound copy of your dissertation to the Head of Department. • The Department will give feedback on your submission within 7 working days. Notes: 1. FT – Full time, PT – Part time 2. * Once you start registering for dissertation, you must register for it every semester until you submit the ‘Certification of Completion’ CPSREG/13/2005(1) form. Failure to do so may result in the termination of your study by the Centre for Postgraduate Studies. 3. PHASE II: RESEARCH For student reference STEP 6 • If the Department certifies that your dissertation has met the required standard, submit thesis for proofreading to CERDAS or English/Arabic Writing Lab. If you submit to CERDAS, you should get your dissertation back within 2 weeks; from English/Arabic Writing Labs, you get it back within 4 weeks. • CERDAS rate – RM 5 per page; Writing Lab rate – RM 3 per page. STEP 7 • Make required corrections indicated in the proofread copy of your dissertation and obtain verification from CERDAS/English Writing Lab/Arabic Writing Lab that corrections have been made. • The verification is indicated by the approval stamp and you should receive it within 3 working days. STEP 8 • Make 5 temporary-bound copies of the approved dissertation. • Fill up the CPS-REG/13/2005 form entitled ‘Certification of Completion of Masters by Research and Ph. D’ (which requires you to obtain the signatures of the supervisor, the Head of Department and the relevant Deputy Dean ). STEP 9 STEP 10 • Submit the 5 temporary-bound copies of the dissertation and the CPS-REG/13/2005 form to CPS. • Request for acknowledgement of receipt from CPS as proof of submission (form is available at KIRKHS’s website). • You now wait for the confirmation of the viva voce date from CPS. In normal circumstances, you should be called for the viva voce within 3 months from the date of the submission of your dissertation to CPS. D BY COURSEWORK AND RESEARCH PHASE III: VIVA AND POST-VIVA WORK STEP 1 STEP 2 STEP 3 For student reference • The viva voce panel produces an evaluation report of your dissertation. • If you are given a pass without correction, submit your English and Arabic abstracts to the relevant writing labs for proofreading. • Once the abstracts are approved, proceed to PHASE IV: SUBMISSION OF DISSERTATION FOR FINAL APPROVAL • If you are required to make corrections (minor or major) or to re-submit, a post-viva supervisor will be assigned to you for the purposes of monitoring your correction work. • Make the corrections as prescribed in the dissertation evaluation report under the guidance of your post-viva supervisor. STEP 4 STEP 5 STEP 6 • Submit your English and Arabic abstracts to the relevant writing labs for proofreading. You should receive the proofread abstracts within 5 working days. • Once the post-viva supervisor approves your corrected dissertation, fill up the CPS – VIVA/4/2008: Certification of Revision of Research Work and PG 1 -2009/2010 : ‘Review of Thesis Binding’ forms. • Submit a temporary-bound copy of the corrected dissertation together with the forms to the Head of Department for approval. • Submit also the English and Arabic abstracts with the corresponding stamps of approval. D BY COURSEWORK AND RESEARCH PHASE IV: SUBMISSION OF DISSERTATION FOR FINAL APPROVAL STEP 1 STEP 2 STEP 3 For student reference • Submit the department-approved copy of the corrected dissertation to the Kulliyyah’s Postgraduate and Research Office together with the accompanying forms. The office will do the final checking and give feedbacks, including the Dean’s remark, within 10 working days. • If there are no further amendments, bring the forms and the dissertation to CPS. • Obtain certification from CPS that you have submitted the form and the dissertation. • Once the dissertation format has been approved by CPS, the approval for hard cover binding of the dissertation will be given. • Make at least 3 hard-bound copies of your dissertation to complete the submission process. * STEP 4 • Obtain the signatures of your supervisor and the internal examiner(s). • Submit the hard-bound copies of the dissertation to the Postgraduate and Research Office to obtain the signatures of the Head of Department and the Dean. STEP 5 • Collect the copies from Postgraduate and Research Office after 3 working days. ** • Submit the signed copies and a soft-copy of the dissertation in CD form to CPS will then table the dissertation in the Senate meeting for final approval. ** COMPLETION OF PHASE IV: SUBMISSION OF DISSERTATION FOR FINAL APPROVAL * Once you submit CPS-REG/13/2005(1) form, you are to submit the hard-bound thesis to CPS within 5 months. ** VERY IMPORTANT! To get the dissertation tabled in the Senate in a particular month, the student must submit the hard- bound copies of the dissertation to the Postgraduate and Research Office at least THREE WORKING DAYS before the deadline of Senate submission for that month.
