7 Prepare a solid proposal (1) • Understand the call requirements first! • What is the right Technology Readiness Level (TRL)? • Does your topic have a forward-looking approach? • Are your objectives realistic? • Be clear, concise and straightforward. • Ensure consistent information and wording, make content easy to find.
7 Prepare a solid proposal (2) • Put care into your communication/dissemination plan and exploitation of results. • Build a coherent and realistic budget. • Focus on the impacts of your project. • Plan enough time. • Carefully assess the resources you’ll need once the project starts.
8 Build a coherent solid budget and make sure that costs are eligible • Direct personnel costs • Subcontracting costs • Other direct costs • Indirect costs / overhead Staff time Travel Equipment Consumables

8 Non-eligible costs: • Preparation of the project and after its ending (final reporting period) • Exchange losses • Provisions for losses or potential future liabilities • VAT, unless official proof presented; VAT paid by public authorities is not an eligible cost • Travels and subsistence fees of EU officials • Contributions in kind (non-cash inputs) – donations, unpaid/volunteer work • Costs declared but not supported by adequate justifying documents
Before submitting your proposal
9 Triple-check that • The proposal fulfils conditions set out in the call (list) • The proposal (both administrative form and technical annex) is “complete, readable, accessible and printable”, and the requested declarations have been made • All consortium members have: – obtained access to ECAS – registered in the Beneficiary Register

Submission
Mission accomplished? • Before the call deadline , the coordinator may replace the proposal with a new version. • After the call deadline , no changes or additions are possible, unless coordinator is asked to clarify any obvious clerical errors on their part. • If the proposal is admissible and eligible, it will be evaluated by independent experts on its scientific merit
Tips for a solid proposal • Write clear, concise and straightforward (page limit) • Include clear presentations on workload and timeline – GANTT – Critical Path • Put extra care to communication/dissemination plan and exploitation of results • Focus on the expected impacts of your project • Demonstrate EU added value • Develop strong & transparant management structures and procedures
