• Room rack- This is an array of metal file pockets designed to hold room rack slips, that display guest and room status information. It also contain information about room type, features and rates
• Mail, message and key racks- A key rack is an array of numbered compartments used to store guestroom keys. To minimize the area, hotel may combine the key rack with either the room rack or the mail and message rack.
• Reservation racks- Racks which store the reservation rack slips or preprinted registration card for anticipated arrivals. FO uses both advance reservation rack and the current reservation rack. – Advanced reservation racks- Registration card are arranged by the guests scheduled date of arrival and within each day’s grouping alphabetically by guest or group name – Current reservation racks- Each morning registration cards for the day’s expected arrivals are loaded into it.
• Folio trays – Folio tray is where the guest folios are stored and arranged by guest room numbers. It remains in the tray throughout the occupancy stage of the guest cycle. • Account posting machine – It is an electric device used to post, monitor, and balance charges and credits to guest accounts.
• Information racks- It is an index of in-house guests in alphabetical order by both surname and room number. • Voucher racks – A container for storing vouchers, room number-wise, for future reference and verification during the night audit. • Cash registers – Used to record cash transactions at restaurants, bar etc. and maintain cash balances.
• Telephone equipment • Call accounting system- a device linked to the telephone system that identifies each phone number dialed from guest room telephones. It provides a record of each room’s local and long distance phone calls, so that appropriate charges may be posted to the guests folio. • Switch board/EPABX- Electronic Private Automated branch exchange. It is a piece of equipment a hotel uses to manage several telephone lines and multiple room or office extensions.
Other equipments are • Wake-up Devices – A specially designed clock with multiple alarms setting to remind front desk agent or telephone operators to place wake up calls. • Fax machine- It sends or receives the documents via telephone line within minutes of transmission. • Magnetic stripe reader-It read data magnetically encoded and stored on the magnetic tape strip on the back of a credit card and transmit this data to credit card verification service. • Point Of Sale machine – It is an electronic device used to process card payments at retail locations. • Security monitor/CCTV • Printer and scanner • Paper trimmer • Self registration terminals • Photocopy machine • Luggage trolley Other General office equipments • Tape, paper clip holder, ruler, push pins, Bulldog clip, scissors, Whitener, Pencil sharpener, Calculator, Stapler, Pencil, Eraser, Highlighter, Hole Punch, rubber bands etc.
