Finals Process Timeline Contractor notifies Engineer when project is “Substantially Complete” (105. 11. 2. 3) Engineer inspects work “As soon as practical” (105. 11. 2. 1) Create punch list Engineer will give final acceptance when the project is complete & accepted as final (105. 11. 2. 4). Requires that the Contractor has submitted all documentation (Payrolls, QMP data, survey notes, material certs/tests, IRI data, etc. ) Send Intermediate Estimate – All pay items measured & promptly paid
Finals Process Timeline Within 3 months of final acceptance Engineer submits records for internal review (including materials records) Engineer completes disposition of the reviews
Finals Process Timeline Within 4 months of final acceptance Submit T/F estimate Within 30 days of T/F sent – Contractor returns signed T/F or submits items of disagreement. If required: Engineer & Contractor resolve disagreement.
Finals Process Timeline T/F not returned in 30 days – Final project out without signed T/F. Within 6 months of final acceptance Send Final Estimate (All issues cleared: No claims, no wage complaints, etc. )
Final Project Checklist Ü Found in Pantry Ü Please Use! Ü Changes Forms EC 509 (Statement of Contract Time) and EC 273 (Construction Estimate Transmittal) are no longer required Item History To Date has been added to the Project Field Records box
Documentation: Things To Work On Ü Original Basis For Computations The piece of paper that you first recorded your measurements on needs to be saved and referenced! Ü Spreadsheets Use the ones in Pantry! Reference or attach original measurements
Documentation: Things To Work On Ü Where is this item? Someone unfamiliar with the project should be able to pick up your computation sheet and know where the item location is. Reference stationing, alignments/roads, etc. on your computation sheets. Draw a picture!
Documentation: Things To Work On Ü Evidence of Checking Should be proof (check marks, initials, dates) that computations and postings have been checked by someone else Ü Categories Important to post items correctly to the appropriate category so that federal/state/municipalities are paying for their appropriate portions
Documentation: Things To Work On Ü Actual Tickets Daily Scale Summaries alone are not acceptable. We still need individual tickets. Ü Method of Measurement Pay attention to what the spec says. Example: Borrow is to be measured in its original position, while aggregates are to be measured by truck volume.
Documentation: Things To Work On Ü Incentives/Disincentives Read your spec closely! Verify the contractor’s reports in Atwood Systems. Check that lot sizes have been adjusted for air voids and/or slump that is out of spec, etc. Once you have verified, print out, sign, and place with your computations/IRA.
