The Business Transition stream has looked at UNSW 3+ impacts across central functions and Faculties Central Impact Assessments and Business Process Design • We have worked with central functions to carry out an assessment of the impacts of UNSW 3+ on their business processes. • We identified where changes to business processes would be required due to altered frequency and timeframes of processes. • We redesigned key administrative processes to align with UNSW 3+ term dates and agreed the key administrative dates for UNSW 3+. • Work will continue with central functions throughout 2018 on continued process design. 6 Faculty UNSW 3+ Impact Workshops • We facilitated a series of six workshops to discuss the impacts of UNSW 3+ on business processes performed in faculties/ schools: Ø Enrolment and class registration Ø Academic advising Ø Special considerations and supplementary exams Ø Internal program transfer Ø Results processing Ø Honours administration • Through these workshops ideas were generated on process improvements that would help Faculties/ Schools adapt to UNSW 3+ timeframes

A number of ideas were generated in these workshops to help Faculties/ Schools adapt

A number of ideas were generated in these workshops to help Faculties/ Schools adapt to UNSW 3+ 1. Course Enrolment & Class Registration 3. Program / Stream Transfers 2 November 2017 22 November 2017 • Develop guidelines for how to use annual • Assess and approve IPT enrolment data to inform class capacities as part of term planning • Create clear and consistent rules around the enrolment process especially regarding late enrolment requests, clashes and failed pre-requisites • Faculty of Science attendees: Sarah Pattterson, UNSW 3+ Officer, Sue Hagon, Administration Officer, Anne Ayres, Undergraduate Administration applications based on WAM at time of application to reduce the time constraint of results release • Create consistent rules and approach across Faculties / Schools to enhance Student Experience • Faculty of Science attendees: Sarah Patterson, UNSW 3+ Project Officer, Gary Mann, Administration Officer, School of Psychology 2. Academic Advising 14 November 2017 • Agree decision criteria and procedures for prioritisation • • 7 of appointments in the non-teaching period so that all students requiring enrolment advice can be seen Develop process for triaging of students based on prioritisation criteria Create better self-service options for students, e. g. online content, FAQs Explore the use of centralised academic advisors to provide extra support during the shortened break between terms Faculty of Science attendees: Gavin Edwards, Associate Dean Academic, Rebecca Sinclair, Administrative Assistant, School of Psychology, Sarah Patterson, UNSW 3+ Project Officer 4. Special Considerations & Supplementary Exams 28 November 2017 • Explore standardisation of special consideration assessment activity to support assessment in the shortened results processing period • Centrally schedule and co-ordinate supplementary exams to ensure completion before the start of the following term • Faculty of Science attendees: Anne Ayres, Administrative Officer, School of Chemistry, Sarah Patterson, UNSW 3+ Project Officer 5. Results Processing 7 December 2017 • Clarify roles and responsibilities for key activities • Structure the two-day School and Faculty review period to ensure completion of activities in the shortened time frame • Faculty of Science attendees: Sue Hagon, Administrative Officer, Physics, Implementation Plan February 2018 6. Honours Administration 25 January 2018 • Review the structure of individual honours programs, including timing of final thesis submission (where applicable) • Review the application assessment procedure for T 3 stand-alone honours commencements to reduce the time constraint of results release • Explore inclusion of honours classifications and approval workflow in Astra • Faculty of Science attendees: Violet Hueston, Student Centre Coordinator, Emmalee O’Grady, Administrative Officer (Postgraduate Support – Psychology) Note: Workshops were attended by SMEs from across Faculties/Schools. All workshops have included representatives IT, Opex and CRM teams.

Next steps for Business Transition involve close alignment with initiatives across the University Business

Next steps for Business Transition involve close alignment with initiatives across the University Business transition next steps • Progress actions from Faculty workshops e. g. design of IPT assessment criteria • Work with Faculties to identify additional processes that will be affected by UNSW 3+ and redesign these processes to align with UNSW 3+ • Continue to work with Central Functions to support the redesign of processes where required and associated updates to University policies/procedures • Work closely with IT stream to identify any process changes that will result from development of the new enrolment system, changes made to Si. Ms and development of the Astra results processing system. 8

Students will move to Annual Enrolment as the default way to enrol in courses

Students will move to Annual Enrolment as the default way to enrol in courses Annual enrolment, where students enrol in all of their intended courses for the academic year, will allow students to better plan their studies Changes to the enrolment process in 2019: From October 2018, UNSW will also allow an annual enrolment model which will enable students to select their courses for the academic year ahead. The selection of class times will open approximately 8 weeks before each term for students to confirm their class selection. Note: It is possible for students to change the details of their course enrolment before the teaching session starts, so students should enrol in a full year of courses even if they aren’t sure about their schedule. Tailored communication will be required for students within the Michaela cohort Students who are expected to have 24 units of credit (UOC) remaining at the beginning of 2019 have been defined as the ‘Michaela Cohort’ (MC). Due to full-time load being reduced to 18 UOC per term, these students will not be able to graduate on time unless they complete 6 UOC over the summer term or overload (24 UOC) during term 1. Students can choose to complete their program one month early, or complete it later, with a lighter distribution of content. Both options allow students to maintain their ‘full time student’ status: Deviation from baseline expectation Expected completion date for degree UNSW 3+ scenario 1 – fast track to complete early - Complete ~1 month early UNSW 3+ scenario 2 – delayed completion Complete ~2 months (with possibility of late lighter load and maintaining full-time status) 2019 Feb Mar Apr May Jun Jul Aug Current Semester 1 UNSW 3+ Term 1 Complete ~1 month early UNSW 3+ Term 1 UNSW 3+ Term 2 Complete ~2 months late Expected date of completion 18 Sep

Work Integrated Learning will provide Science students with practical experience as part of their degree WHAT IS WORK INTEGRATED LEARNING @ UNSW? Work Integrated Learning (WIL) enables students to engage in authentic, purposeful, partnered, and supervised work learning experiences as part of their program of study. At UNSW, WIL is a work learning experience: • Embedded in a course and has an assigned unit of credit value; and/or • A program requirement for those professions that require a minimum level of work experience to receive accreditation. The new WIL Procedure at UNSW indicates all coursework programs will provide an opportunity for students to undertake WIL. Students will not be required to undertake WIL unless it is a core course in a program or a professional accreditation requirement. At Science, the SCIF 2199 Science Work Placement course is an example of WIL. 20

Under UNSW 3+ the total time available for an honours program is increased Semesters: Start of S 1 to submission date ~ 40 Weeks Trimesters: Start of T 1 to submission date ~ 44 Weeks Honours timeframes under UNSW 3+ are longer than under the semester calendar 30 • Under UNSW 3+ there will be less time between the end of term and the results release date for marking and grading • Due to the longer time available for the honours program there is the option to set thesis submission dates earlier in the final term and not reduce the total time that students currently have to complete their thesis • Consideration will need to be given for when to schedule final presentations in the teaching period

IT engagement with the Faculty of Science 34 • The Downstream Systems Impact Assessment project has been engaging with Faculty representatives on the systems specific to Science. • The table on the next slide outlines the initial assessment outcomes. • There were no High impacted systems, and all the Medium rated systems only require content updates. • This initial analysis process was completed through workshops and feedback sessions with William Mc. Lean and Ron Haines. • Next steps in the process will be to provide sample 2019 data that can be used in testing.
