The Case

. 01 Institutions register student attendance for many reasons • Compliance (VISA, Ofsted, Student Financing, Employers) • Resource Utilisation The Case • Student Retention and Engagement • Decision Making 3

. 02 There are several methods and technologies to register attendance and they all fall into two categories: • Manual Registration The Case • Automated Registration 4

The Case Registration Methods and Technologies Automated Manual • The staff takes attendance, • Students play an active role and register themselves using different technologies and equipment typically, at the beginning of each session using pen and NFC/RFID Barcode/QR Code paper • The staff enters, manually, attendance in Excel Magnetic Strips Biometric (Finger Print Scanning) spreadsheets or in Student Information Systems (SIS) Geo-fence (Bluetooth/Beacons/Wi-Fi) (Bluetooth/Wi-Fi) Face Recognition 5

The Problem

The Problem The Challenges (i) Manual Registration . 01 The paper sheet may be misplaced or lost and, if spreadsheets are used, the files may not be available to the administration . 02 Teaching staff loses a few minutes but for an institution the amount of time dedicated to manual registration can be significant . 03 Attendance information is not available real-time 7

The Problem The Challenges (ii) Automated Registration (Current Solutions) . 01 In the majority of the solutions, students are required to carry specialized equipment (cards with RFID chips, magnetic strips). This may be a significant cost factor for the institutions . 02 Institutions need to invest in expensive technology (RFID/card/barcode readers, biometric/ face recognition hardware and software) or a separate installation of devices may be required . 03 Most of the systems are not accurate enough . 04 Some solutions require accurate setup and expensive maintenance of databases (e. g. face patterns and fingerprint scans) . 05 Sophisticated systems rely on students’ personal data (e. g. fingerprints) and the storage and management of it is, increasingly, becoming an important issue due to changes in legislation (GDPR) 8

The Problem True Cost (i) Attendance Tracking Costs Time, Money and Effort In each university, nearly 360 teaching sessions take place every week Even if attendance tracking takes as little as 10 minutes 3, 600 minutes or 60 hours per week are lost. For the typical academic year of 25 weeks this costs 1, 500 lost hours of teaching Which translates to monetary cost of anything between £ 37, 500 - £ 90, 000 per year per institution * Based on data from Higher Education Statistics Agency (HESA) – Accessed 16/05/2019 9

The Problem True Cost (ii) Attendance Tracking Costs Time, Money and Effort If automated attendance tracking is in place, two additional cost centres appear: • Initial cost for equipment: which can exceed £ 5, 000 for a small institution • License Fees Errors Additional Administrative Cost to fix erroneous registers £? ? ? 10

The Problem True Cost (ii) 1, 500 hours £ 37, 500 - £ 90, 000 + License Fees + £? ? ? per year per institution + £ 5, 000 for infrastructure For checking if a student is in the classroom? 11
