Art. 3: Aims of the Doctoral Training Why doctoral training? • expanding and deepening the knowledge of the Ph. D researcher within the research domain • acquiring various skills that will advance the quality and efficiency of doctoral research and promote the future professional career of the Ph. D researcher, within or outside the university
What can the coordinator do for you? 1° coordinates activities within doctoral training programme (ensures balanced spread) 2° assists doctoral researchers in organisation of doctoral training activities 3° provides information on applicable doctoral training regulations 4° provides advice to doctoral committee regarding certificate doctoral training 5° organizes doctoral classes; marginal check of (date of) doctoral seminars
Art. 14 -15: Structure of the Doctoral Training • Truncus communis 6 mandatory components (cf. infra) o • Supplementary part additional activities and training that the Ph. D researcher follows o • • o o o as part of the doctoral research and/or as a preparation for a career within or outside the university e. g. teaching, language courses, summer school, more publications, organization of a workshop, co-editing of a book, … should not be in conflict with the status of the Ph. D researcher and must not hinder the progress and quality of the doctoral research sometimes the doctoral committee imposes additional obligations

Scientific Publication “At least one scientific publication at an international level” • In our faculty: “ACRES” publication according to STAR, of which you are first (not necessarily only) author o exception possible in case of monograph • Written in the language of the discipline • Typically: journal article or book chapter, monograph o Typically not: annotation, chronicle, newsletter o But it is the contents that count, see STAR principles In case of doubt: ask the coordinator • Remember: what is not in Lirias does not exist o
Truncus Communis 2. Doctoral Seminars (1) Organize 2 doctoral seminars • Basics o o At least one of the two seminars should be about the Ph. D Takes place within the physical confounds of the faculty (or one of its campuses) In case of joint doctoral seminar with several doctoral researchers: individual contribution of the doctoral researcher (i. e. personal presentation and discussion or interaction with the public) lasts at least one hour The members of the supervisory committee (including (co-)supervisor) are present in principle • Absolute minimum: At least on of the (co-)supervisors is present!

Doctoral Seminars (1) Organize 2 doctoral seminars (ctd. ) • Organization Start looking for a date as early as possible (min. 4 weeks in advance) o • • • Submit an invitation of the seminar to doctoraat. [email protected] be, which will be distributed around 3 weeks before seminar o • o Check with coordinator and doctoraat. [email protected] be Use the outlook calendar of the doctoral training No two seminars at the same time! Appoint two discussants, at least one of our faculty Provide the discussants with necessary information 1 week in advance • Timing o o Same as special progress reports (typically in the second and fourth year) Often doctoral seminar is combined with meeting of supervisory committee, but not mandatory

Doctoral Seminars (2) Attend 4 doctoral seminars of which 2 as discussant • Discussant o o Receives information 1 week before seminar Initiates the discussion after the doctoral researcher’s presentation It is your responsibility to have been disputant twice before the end of your Ph. D! Not only intended to stimulate debate during the seminar, but also to stimulate interaction between researchers • As participant: sign the attendance list and upload form D 012 as a milestone in your KULoket application

Conference Presentation at international scientific conference • Presentation or poster, presented by yourself o • • As first, but not necessarily only author Not necessarily on Ph. D Ask your supervisor for opportunities “ACLECINT” according to STAR Once again: what is not in Lirias does not exist

Doctoral Classes (16 hours) (1) Attending minimum 16 hours of lectures or other activities organised for doctoral students • Not to be confused with doctoral seminars (see above) • Criteria o Organized for doctoral researchers o Typically on methodology, skills (e. g. communication, management) o Beyond one specific substantive area • Different types Doctoral classes organized by coordinator (see Outlook calendar) o • Including crash course proposal writing o Seminars and other activities recognized as doctoral classes (see Outlook calendar) o Other activities (cf. infra) • Can be recognized by the coordinator, but should be requested in advance • Keep evidence of o recognition of the activity (e. g. an email from the coordinator) o participation in activity (e. g. a certificate)

Doctoral Classes (16 hours) (2) q Four types: At faculty level Ø At group level (Human Sciences) Ø At university level (KU Leuven) Ø External q Common characteristic: Ø Ø Activities that help Ph. D researchers to develop their competency profile as defined by the KU Leuven (“methods” or “skills”) For example: activities aimed at methodological training, communication and management skills, and technical competences Not: sector-specific conferences / seminars / workshops (“recent developments in tax rulings”) or additional course (e. g. LL. M) to gain more intrinsic knowledge or to specialise in your own area of research.

Art. 14, § 2: Request for Exemption • “The doctoral committee can on an individual basis grant a (partial) exemption of the doctoral programme or set a substitute assignment, on the basis of a motivated application by the Ph. D researcher and in consultation with the supervisor. ” If reasonably not possible to achieve a task of the truncus communis, you can ask for an EXCEPTIONAL and personal exemption Adress request to DC (which decides on advice of training coordinator) and provide motivation - DC can impose another task instead of the task you cannot fulfil - Exemption can never be obtained for the Doctoral Seminar dealing with your Doctoral Research (Progress Report)
Art. 14, § 2 (Particulars): Request for valorization If you have accomplished one or more tasks out of the truncus communis before the official start date of your Ph. D: you are strongly advised to ask for a valorization at the moment you submit your Proposal of Doctoral Training Ø Ø Via Form D 002 Request to adress to DC Describe precisely which achievement you would like to be taken into account For the following activities a valorization is always granted : Ø research master (= 10 h doctoral classes); Ø Ius Commune research school (= 16 h doctoral classes) - Valorization is only possible for activities during the last 5 years before your request - Activities after your official start date but before the submission of your form are simply considered as planned activities, not as activities to be valorized
Art. 15 (Particulars): Request for a Certificate When you have completed all the tasks of your doctoral training (no min. nor max. term to complete the training, but Art. 10: “in principle within four years in case of full-time research assignment”): you can ask your certificate to the DC Ø Via Form D 005 Ø Fill in each task with all the details (dates & places, organisator, subject, number of pages etc. ) Ø Do not forget as attachment: !!!!!!!!!!!!!!! - What is not in does not exist…!!! - You need your certificate before you can organize your doctoral defence!
