What is PII? Student Personally Identifiable Information (PII) is defined by state and federal laws as information that, alone or in combination, personally identifies an individual • This includes direct identifiers (i. e. name, SASID, etc. ) • Includes information that when combined is identifiable Colorado’s Student Data Transparency and Security Act introduces a number of new requirements for how Student PII is collected, used and shared CDE has prepared guidance on how to comply with this and other privacy laws which can be found here: http: //www. cde. state. co. us/dataprivacyandsecurity
How to Share Data üCheck local policies for restrictions, requirements, etc. üEnsure that you are following local policies when transmitting PII to any third party üUse secure methods to transfer any PII to CDE ü Call CDE (303 -866 -6395) with questions about how to transmit PII securely ü Use Syncplicity to encrypt emails to CDE üAvoid sending PII via unencrypted email or to unsecured faxes when sharing data between or within districts XDo not use PII in trainings, presentations, etc. XDo not share PII with unauthorized individuals XDo not share passwords

Student October Ø Student October Count Verification Signature Pages were due to CDE by Thursday, December 6 th unless your LEA had requested an extension. An email reminder went out Monday to districts who had not yet submitted the form or requested an extension. Ø For the districts with outstanding forms, please let me know when you’ll be able to submit it. Ø There is still an issue with Syncplicity in that not all districts are able to move/edit folders. 18
Student October ØDifference between FTE and headcount is, FTE is for funding and headcount is the number of students. ØCDE will be pushing back the public release of Student October Data a week or two from the initial January 8 th proposed date. Details will be forthcoming. ØNotifications to October Count contacts went out from Mary Anne Hunter, in the CDE Postsecondary Readiness Office, regarding a February ASCENT training webinar. 19
Student October ØPre-ID extract for the WIDA Access test (for ELs) was taken from Student October Data from November 7 th. ØAfter the October Count data is completed, the Assessment Unit will use that information for the regular assessment (CMAS) Pre-ID extract. ØWhat happens is that CDE downloads October Count Data from Data Pipeline and then submits the needed data to the assessment system (Dec/Jan) after validating the file for accuracy and completeness. Districts can update that data in the assessment vendor system. 20
